Position: Gen VA for a Metal Roofing Company

We are seeking a highly motivated and organized individual to join our team as a General Virtual Assistant for our metal roofing company. This is a full-time, remote position with a contract of 40 hours per week.

Virtual Assistant Role & Responsibilities

The Virtual Assistant (VA) will play a key role in both administrative support and specialized operational functions. This position requires a proactive, detail-oriented individual capable of managing diverse tasks with efficiency and professionalism.

Core Responsibilities:

  • Manage and respond to online inquiries
  • Handle council approval forms and submissions
  • Liaise with insurance companies for indemnity insurance coordination
  • Manage lead tracking, follow-ups, and appointment scheduling
  • Generate profit and loss statements for each job/project
  • Set up and manage quoting systems within Simpro
  • Coordinate supply ordering and delivery scheduling
  • Oversee and maintain social media management

Operational Focus Areas:

  • Fully optimize Simpro to streamline workflows and boost efficiency
  • Create and implement effective quoting systems within Simpro to accelerate the quoting process
  • Develop and refine backend systems within Simpro to strengthen overall operations

Post-Onboarding Responsibilities:

  • Produce clear video documentation for all newly implemented processes in Simpro
  • Ensure all standard operating procedures (SOPs) are well-documented for training and consistency
  • Support long-term system efficiency through continuous process improvement and documentation

Essential Qualifications & Experience:

  • Minimum 2 years of experience in a Virtual Assistant, Administrative Support, or Operations role
  • Hands-on experience using Simpro or similar job management/quoting systems
  • Familiarity with council approval processes and forms (preferred)
  • Experience in liaising with insurance companies, particularly for indemnity insurance
  • Strong background in lead management, calendar scheduling, and email handling
  • Proficiency in creating profit and loss statements
  • Demonstrated experience in supply chain coordination or delivery scheduling
  • Proven ability to manage social media platforms for business purposes

Technical Skills:

  • Proficient in Simpro (required) & Xero
  • Strong knowledge of Google Workspace (Docs, Sheets, Drive) and Microsoft Office Suite
  • Experience using CRM systems and quoting tools
  • Ability to record and edit video documentation for SOPs and training purposes
  • Comfortable working with cloud-based project management tools
