Recruitment Data Privacy
Compliance with Data Privacy Act of 2012 and Its Implementing Rules and Regulations
Toyota Motor Philippines Corporation (TMP) is committed to ensuring the confidentiality of your information under Republic Act No. 10173 or the “Data Privacy Act of 2012” and will exert reasonable efforts to protect against its unauthorized use or disclosure.
In compliance with the requirements of the Data Privacy Act and its implementing rules and regulations, we would like to inform you how we handle and protect the data you provide in the course of your application with TMP.
These data, which include your personal or sensitive personal information, may be collected, processed, stored, updated, or disclosed by TMP (i) for legitimate purposes, (ii) to implement transactions which you request, allow, or authorize, (iii) to offer and provide new or related job opportunities within TMP, and, (iv) to comply with TMP’ internal policies and its reporting obligations to governmental authorities under applicable laws.
We collect personal data directly from you when you apply for a role with us through our written or online application forms, or by applying through TMP's Career Page. We collect similar personal data about you from third parties not limited to academic institutions, professional recruiting firms, job portals, your references, former employers, TMP employees who have referred you as an applicant, and employment background check providers, to the extent this is permitted by applicable law. We may also collect personal data about you online to the extent that you have made this information publicly available such as social media platforms.
As part of our recruitment process TMP may utilize the services of Third Party Service Providers that may include recruitment partners, recruitment software platforms, candidate search software platforms, or job portals that provide candidate assessments, conduct recruitment marketing activities, send out surveys, schedule interviews, conduct background screening activities, post jobs and receive applications or other activities that may enhance our recruitment process.
TMP uses your data to identify and evaluate you for current and future roles, keep records in relation to recruitment and hiring, communicate with you about the recruitment process, enhancing information we obtained from you with information we received from Third Party Service Providers such as your assessments results, verifying your identity and the information you provided through reference and background checks, improving our recruitment process and augmenting our ability to attract successful candidates, achieving administrative and human resources related purposes within TMP, emergency situations where health or safety of one or more individuals may be endangered, and, complying with any laws, regulations, guidelines, legal processes, enforceable governmental requests or court orders.
These may continue to apply, even in situations where the recruitment process and/or your relationship with us has been terminated or altered in any way, for a reasonable period thereafter.
Your data may be shared with our affiliates and/or subsidiaries in the various capacities and jurisdictions in which TMP operates, in relation to the purposes described in this Privacy Notice.
If you have been referred for a job at TMP by a current TMP employee, we may inform that employee about the progress of your application and let the said employee know the outcome of the process.
Upon acceptance of job offer, we may share your data with internal processors that will facilitate your onboarding process such as your immediate superiors, Human Resources, General Services, Safety and Health and Information Systems Departments.
We may provide your Personal Data to Third Party Service Providers in relation to the recruitment process and the purposes stated in this privacy notice.
By submitting your data to TMP, you hereby grant your express and continuing consent to allow the aforementioned groups to process your personal information and use it as may deem necessary.
We will take reasonable legal, organizational and technical measures to ensure that your Personal Data is protected and will be retained for the duration of its purpose (e.g. you have applied to multiple jobs, have requested to be contacted for future opportunities, or have been employed with TMP).
We hold personal data of unsuccessful applicants for at least six (6) months but no longer than two (2) years after the recruitment process or assessment has been completed.
Information may be held for a longer period of time where there is a legal or regulatory reason to do so (in which case it will be deleted once no longer required for the legal or regulatory purpose).
If you are successful in your application, the personal data gathered through the recruitment process will be retained in line with the TMP's Privacy Notice.
By submitting your data, which may include personal and sensitive personal information, to us, you acknowledge that:
• You have read and understood this Privacy Notice and agree to the use of your personal data as stipulated herein.
• Your personal data may be shared to Third Party Service Providers, for the purposes and in the manner specified in this Privacy Notice.
• You are not required to provide any requested information to us, but failing to do so may result in not being able to continue your candidacy for the job for which you have applied.
• All your information stated are true, complete and correct to the best of your knowledge and belief. Any inaccurate information or omission may be grounds for cancellation of your application or dismissal in case you are employed.
