Position Overview

We are seeking a Staff Accountant with strong accounting experience and a solid understanding of financial processes. The ideal candidate has at least 5 years of accounting experience, including a minimum of 2 years as an Accountant. Experience in property management accounting is highly preferred.

The Staff Accountant is responsible for day-to-day accounting, reconciliations, month-end close, and accurate accounting for Rosenbaum’s residential portfolios. This role directly supports the Accounting Manager and collaborates closely with property managers to ensure every property is financially healthy, documented, and fully compliant with Arizona’s property management account regulations.

Key Responsibilities

Property & Trust Accounting

  • Maintain accurate books for all accounts, including operating, reserve, and security deposit accounts.
  • Ensure compliance with Arizona Department of Real Estate (ADRE) trust accounting requirements.
  • Track and reconcile owner contributions, tenant payments, security deposits, and property expenses.
Accounts Payable $ Receivable
  • Enter and code daily invoices (utilities, maintenance, HOA bills, vendor charges).
  • Process tenant charges, credits, fees, and statements in the property management software.
  • Support AR by monitoring delinquencies and coordinating with property managers for follow-up.

Monthly Reporting

  • Prepare and review detailed monthly owner statements, ensuring accuracy and proper documentation.
  • Validate management fees, maintenance pass-throughs, late fees, and all recurring charges.
  • Deliver monthly financial packages on time and with full accuracy.

Banking & Reconciliation
  • Perform timely monthly bank reconciliations for trust and operating accounts.
  • Match bank activity to tenant ledgers, property reports, and vendor transactions.
  • Investigate discrepancies and resolve them proactively.

Move-In/Move-Out Accounting

  • Process move-outs, including damage assessments and security deposit dispositions.
  • Ensure all move-in and move-out funds flow correctly through accounts.

General Accounting Support
  • Prepare journal entries, accruals, and monthly adjusting entries.

  • Assist with year-end financials, 1099 preparation, audits, and tax documentation.

  • Maintain organized digital and physical accounting records for compliance and audit readiness.

Qualifications
  • Bachelor’s degree in Accounting, Finance, or related field

  • Minimum 5 years of overall accounting experience

  • Minimum 2 years of experience specifically as an Accountant

  • Strong preference for experience in property management or HOA accounting

  • Proficiency in accounting software and Microsoft Excel

  • Strong attention to detail and organizational skills

  • Ability to work independently and meet deadlines

  • Strong understanding of trust accounting and Arizona ADRE compliance (or willingness to learn quickly).

  • Proficiency with property management software is a plus (AppFolio, Buildium, Yardi, Rent Manager, etc.).
