Our Client who is a huge conglomerate in Qatar is looking for a Male "Executive Assistant" to work closely with the Group's President. As an Executive Assistant you will play a pivotal role in ensuring the efficient operation of our executive office. You will work closely with the group's president, coordinating their schedules, handling communication, and providing critical administrative support to help them focus on strategic tasks and decision-making.
Key Responsibilities:
- Manage the executive's complex calendars, scheduling appointments, meetings, and travel arrangements.
- Coordinate and prepare documents and materials for meetings and presentations.
- Handle all incoming and outgoing communication on behalf of the executive, including phone calls, emails, and written correspondence.
- Maintain and organize files, records, and documents, both physical and digital, ensuring easy accessibility and retrieval.
- Assist with administrative tasks, including expense reports, budget tracking, and purchase orders.
- Gatekeeping, screening and prioritizing incoming requests and inquiries to manage the executive's time effectively.
- Conduct research and prepare reports, presentations, and summaries as required.
- Support project management activities, tracking deadlines, and coordinating tasks across teams.
- Plan and organize company events, conferences, and seminars as directed.
- Maintain a high level of discretion and confidentiality when handling sensitive information.
Qualifications:
- Minimum 5 years of experience in a similar role.
- Proficiency in Arabic and English is a Must.
- Excellent organizational and time management skills to handle multiple tasks and priorities.
- Exceptional communication skills, both written and verbal, for effective interaction with internal and external stakeholders.
- Proficiency in office software, calendar and email tools, and possibly project management software.
- Strong problem-solving skills and the ability to remain composed under pressure.
- High level of professionalism and discretion when dealing with sensitive information.
- Strong interpersonal skills to effectively liaise with colleagues, clients, and other stakeholders.
- Proactive and resourceful in anticipating the executive's needs and streamlining processes.
