Our Client in Jeddah is seeking an Event Coordinator to join his team. The event coordinator is responsible for planning, organizing, and coordinating various types of events, such as conferences, meetings, weddings, parties, fundraisers, and corporate events. They work closely with clients, vendors, and internal teams to ensure the successful execution of events.

Responsibilities:

  1. Event Planning: Collaborate with clients to understand their event objectives, budget, and preferences. Develop event concepts, themes, and agendas. Prepare event proposals, timelines, and budgets
  2. Venue Selection and Setup: Research and identify suitable event venues. Coordinate with venue staff for bookings, setup, and logistics. Arrange for necessary equipment, decorations, and seating arrangements.
  3. Vendor Management: Source and manage vendors, including caterers, audiovisual technicians, photographers, florists, and transportation services. Negotiate contracts and ensure timely delivery of services.
  4. Budget Management: Create and manage event budgets. Track expenses, review invoices, and reconcile accounts. Identify cost-saving opportunities without compromising event quality.
  5. Event Promotion and Marketing: Develop event marketing strategies. Coordinate with marketing and communication teams to create promotional materials, including invitations, flyers, and social media campaigns.
  6. Attendee Management: Handle event registrations, ticketing, and RSVPs. Communicate with attendees regarding event details, logistics, and updates. Ensure a positive attendee experience.
  7. On-site Event Coordination: Oversee event setup, including stage, lighting, sound, and seating arrangements. Coordinate event flow and manage any issues or emergencies that may arise during the event.
  8. Post-event Evaluation: Collect feedback from clients, attendees, and stakeholders. Analyze event success and identify areas for improvement. Prepare post-event reports and recommendations.

Qualifications:

  1. Education: A bachelor's degree in event management, hospitality, marketing, or a related field is preferred. Relevant certifications or professional training in event planning are advantageous.
  2. Experience: Previous experience in event planning, coordination, or related roles is desirable. Experience in managing multiple events simultaneously is a plus.
  3. Organizational Skills: Strong organizational and time management abilities to handle multiple tasks and prioritize effectively. Attention to detail is crucial to ensure seamless event execution.
  4. Communication and Interpersonal Skills: Excellent verbal and written communication skills. Ability to build relationships and negotiate with clients, vendors, and team members.
  5. Problem-solving: Proactive approach to problem-solving and ability to handle unexpected challenges during events.
  6. Technology Proficiency: Familiarity with event management software, project management tools, and other relevant technology platforms.
  7. Flexibility: Willingness to work flexible hours, including evenings and weekends, to accommodate event schedules.
  8. Creativity: Ability to develop innovative event concepts and incorporate unique elements to enhance the attendee experience.
