Title: EA/Admin support
Location: Remote (Canadian-based company)
Contract Type: Independent Contractor I Full-Time I Monday-Friday EST
Works Closely With: CEO, Founders and managers
Monthly Compensation: (TBD - based on expectations)

Our client is a fast-growing media and advertising company that works with brands, agencies, and partners across digital out-of-home, and campaign execution. They are looking for a reliable and highly organized admin to provide full-time administrative support to their senior leadership team.

This person will help manage calendars, coordinate meetings, handle travel bookings, support meeting notes and follow-ups, and keep day-to-day admin tasks running smoothly.

Key Responsibilities:

  • Manage calendars for senior leadership and coordinate internal and external meetings
  • Book meetings, calls, and appointments across different time zones
  • Prepare or collect meeting notes, follow-ups, and action items when needed
  • Coordinate travel arrangements, including flights, hotels, and itineraries
  • Support general administrative tasks and team coordination
  • Assist with light financial/admin tasks when needed, such as organizing invoices, expenses, or payment details
  • Keep communication organized and ensure important tasks do not fall through the cracks
  • Provide support with marketing/admin tasks that may be assigned or  may need help coordinating

Ideal Candidate:

  • Strong organizational and communication skills
  • Experience supporting executives or senior teams
  • Comfortable managing calendars, bookings, and admin workflows
  • Detail-oriented, proactive, and able to work independently
  • Comfortable handling confidential information
  • Experience with Google Workspace, Slack and basic finance/admin tools
  • Full professional proficiency in English
