ROLE OVERVIEW

Role Title: Onboarding, Credentialing & Compliance Coordinator

Team: Talent Operations / Compliance

Reporting Line: Client Account Manager & People Avenue Compliance Lead

Work Setup: Remote, offshore-delivered through People Avenue

Shift: Standard client business hours, with flexibility around district start dates

ROLE PURPOSE

This role owns the process of getting placed education candidates fully cleared, credentialed, and compliant before they step into a classroom. It is the backbone of the client's ability to place education professionals quickly and confidently, ensuring every candidate meets state licensure, background check, and district-specific requirements.

The Coordinator works cross-functionally with recruiters, candidates, and school district partners to keep the onboarding and credentialing pipeline moving without compromising accuracy or compliance.

KEY RESPONSIBILITIES

Credentialing & Licensure Management

  • Track and verify state teaching certifications, licenses, and endorsements required for each placement

  • Guide candidates through state credentialing/licensure applications, renewals, and reciprocity requirements

  • Maintain up-to-date knowledge of state-by-state certification requirements across active markets

  • Monitor credential expiration dates and proactively initiate renewals to prevent placement gaps

Background Checks & Compliance Clearances

  • Coordinate fingerprinting, background checks (state and FBI), and child abuse/central registry clearances required for school placement

  • Track TB tests, physicals, and other health clearance documentation as required by district or state

  • Ensure I-9 and E-Verify compliance for all new hires

  • Maintain audit-ready compliance files for every active and placed candidate

Onboarding Coordination

  • Own the end-to-end onboarding checklist for new candidates, from offer acceptance through first day

  • Communicate proactively with candidates to collect required documentation and resolve missing items quickly

  • Coordinate with recruiters and account managers to align onboarding timelines with district start dates

  • Deliver a smooth, professional onboarding experience that reflects well on the client and People Avenue

District & Compliance Liaison

  • Serve as a point of contact for school district HR/compliance contacts on credentialing and clearance questions

  • Stay current on district-specific and state education agency compliance requirements

  • Flag and resolve compliance discrepancies before they impact a placement start date

  • Support internal and external compliance audits with organized, accurate documentation

Systems & Reporting

  • Maintain accurate candidate compliance and credentialing records in the ATS/compliance tracking system

  • Generate regular reports on onboarding status, credentialing pipeline, and upcoming expirations

  • Identify process bottlenecks and recommend improvements to the onboarding/credentialing workflow

KEY METRICS & SUCCESS INDICATORS

  • Percentage of candidates fully cleared ahead of district start date

  • Zero missed credential/license renewals or placement-blocking lapses

  • Compliance file audit pass rate (internal and district/state audits)

  • Average time to resolve missing or outstanding documentation

  • Onboarding cycle time from offer acceptance to first day

COMPETENCIES & ATTRIBUTES

  • Highly organized with exceptional attention to detail — zero margin for compliance errors

  • Strong written and verbal communication; comfortable following up persistently and professionally

  • Able to manage a high volume of candidates and deadlines simultaneously without losing accuracy

  • Comfortable interpreting and applying state-specific regulatory requirements

  • Tech-savvy; able to learn and effectively use an ATS/compliance tracking system

  • Self-motivated and disciplined enough to work effectively in a remote environment

QUALIFICATIONS & EXPERIENCE

  • Experience with credentialing, licensure, HR compliance, or onboarding — ideally in education, healthcare, or another regulated staffing environment

  • Prior experience in education staffing, school HR, or a certification/licensing body is a strong plus

WORK ARRANGEMENT

Full-time, remote position delivered through People Avenue, supporting the client's onboarding and credentialing needs during standard business hours, with flexibility as needed to meet district start-date deadlines.
