The Agency is assisting Royal LePage The Realty Group Property Management in the recruitment of a full-time Director of First Impressions to cover a maternity leave. As the Director of First Impressions, you will play a crucial role in ensuring their office operates smoothly, and clients feel welcomed and supported.
JOB SUMMARY:
We are seeking a detail-oriented, organized, and personable Front Desk Receptionist to manage daily operations of the property management office. This pivotal role requires strong communication skills, multitasking abilities, and a professional demeanor, as you are the first point of contact for clients, tenants, and vendors.
RESPONSIBILITIES:
- Warmly greet all visitors and callers, ensuring a positive first impression of our office
- Answer and direct phone calls professionally, using proper scripts and procedures
- Respond to email and social media inquiries promptly and accurately
- Direct maintenance and rental inquiries to the appropriate department or online system
- Open and close the office, including forwarding/unforwarding phones, preparing the cashdrawer, and ensuring all systems are operational
- Maintain a clean, tidy, and organized reception area
- Monitor office supplies, keeping inventory up to date and restocking as necessary
- Process lease renewals, tenant paperwork, and property information with precision
- Create and organize tenant and owner binders, ensuring all documentation is accurate
- Handle payments, write receipts, and manage petty cash
- File and manage tenant and owner records, following office protocols
- Manage mail and dropbox items daily
- Work closely with property managers, finance, and maintenance staff to address client and tenant needs.
- Assist with preparing eviction notices, non-renewals, and other critical tenant communications
- Support seasonal and special projects, including holiday gift campaigns and fundraising initiatives
REQUIREMENTS:
- Minimum 2 years in reception, customer service, or administrative roles
- Property management experience considered an asset
- Strong organizational and multitasking abilities
- Proficient in Microsoft Office Suite and Google Workspace
- Excellent verbal and written communication skills
- Ability to handle sensitive information with discretion and professionalism
- Friendly, adaptable, and willing to learn in a fast-paced environment
