OFFICE ASSOCIATE - Office Manager

Position Summary:

Our Office Managers are trained and ready to help an office run efficiently through a range of administrative, financial, and managerial tasks. We know that Office Managers are a key player in keeping offices running efficiently by providing employees with resources and tools, as well as executing company-wide initiatives to preserve and improve organizational processes.

Duties & Responsibilities:

  • Maintain efficiency within the office by establishing the best policies, standards, and procedures
  • Oversee and support all administrative duties and ensure that office is operating smoothly
  • Assign and monitor reception and administrative duties and tasks among office staff
  • Recruit staff for the office, provide orientation and train new employees

  • Evaluate and manage staff performance and provide coaching and guidance
  • Manage internal staff relations

  • Organize company-wide, corporate and internal meetings, parties, and events
  • Assist with office layout planning and office moves

  • Manage office budget

  • Handle customer inquiries and complaints

  • Identify opportunities for office management improvements and implement new systems
  • Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research, and creating reports or presentations
  • Coordinate and plan for office services as needed, such as accommodations, relocations, equipment, supplies, forms, disposal of assets, parking, maintenance and security services
  • Assist in preparation of operating budget and maintain inventory and budgetary controls
  • Assemble data and prepare periodic and special reports, manuals and correspondence
  • Use a variety of project management, communication and organizational skills to support management
  • Provide additional support to office administrators as required

Qualifications & Skills:

  • High School Diploma or GED

  • Bachelors degree in business administration is preferred

  • Minimum five (5) years experience in a supervisory role

  • Excellent time management skills and ability to multitask and prioritize work
  • Excellent written and verbal communication skills

  • Strong organizational and planning skills

  • Experience with scheduling, budgeting, and payroll

  • Comfortable working in a fast-paced environment

  • Strategic planning and business development skills
