ABOUT THE CLIENT

Our Client provides industrial air compressors and related compressed-air solutions in Singapore. Their services include equipment supply, installation, maintenance, repair and pipeline works for customers across different industries.

They are looking for a dependable and organised Administrative Assistant to support our purchasing and day-to-day office operations.

KEY RESPONSIBILITIES

  • Assist with sourcing materials, equipment, spare parts and services required by the company.
  • Request quotations from suppliers and prepare basic quotation comparisons.
  • Prepare and process purchase orders after obtaining the necessary internal approval.
  • Follow up with suppliers on order status, delivery schedules and outstanding items.
  • Coordinate with internal colleagues to confirm purchasing and delivery requirements.
  • Maintain accurate purchasing, supplier and product records.
  • Enter and update information in the company's ERP or internal record-keeping system.
  • Match purchase orders, delivery orders and supplier invoices for administrative processing.
  • Organise procurement documents and maintain proper electronic and physical filing.
  • Support stock monitoring and notify the relevant team members when items require replenishment.
  • Assist with general administrative duties, correspondence and data entry.
  • Perform other reasonable procurement or administrative duties assigned by the supervisor.

REQUIREMENTS

  • At least GCE N-Level or an equivalent qualification.
  • A Nitec or Higher Nitec, otherwise diploma in Business Administration, Supply Chain, Logistics or a related field would be advantageous.
  • Candidates without prior working experience may also apply, as guidance and on-the-job training will be provided.
  • Basic proficiency in Microsoft Office applications.
  • Previous exposure to an ERP or inventory-management system would be advantageous but is not essential.
  • Able to organise documents and follow up on multiple orders accurately.
  • Careful, responsible and willing to learn.
  • Able to communicate and work effectively with suppliers and internal colleagues.
