Sales Administrator – Bellville, Cape Town - R15 000 – R17 000 (5-Month Temp Cover)

Key Performance Areas & Responsibilities

1. Sales Support & Logistics Coordination

  • Verify product pricing and packaging specifications (Small, Medium, Large, Minis, etc.).
  • Liaise with the Logistics department to confirm freight rates.
  • Manage order documentation by creating and maintaining physical and digital files for all new orders.
  • Update and maintain the Customer Database in coordination with Logistics and TSIS.

2. Reporting & General Administration

  • Update weekly order intake reports and intake summary reports.
  • Maintain the Budget vs. Actual report (Quantity & Sales Invoiced).
  • Handle general admin tasks, including travel arrangements (quotes/bookings) and business card orders.
  • Assist with corporate exhibition planning, including budget updates and sourcing quotes.

3. Systems & Syspro Management

  • Proformas: Create Proforma invoices for both Local and International clients; open Order Proformas upon customer acceptance.
  • Shipping: Create and maintain Shipping Instructions (SI).
  • Customer Records: Create new customer profiles and maintain existing ones on Syspro.
  • Financial Admin: Load requisitions for travel and general expenses; assist sales teams with credit note applications and re-invoicing.

4. Meetings & Customer Service

  • Attend and record minutes for Sales and PPC (Production Planning & Control) meetings.
  • Distribute action items to relevant parties and follow up on progress.
  • Manage the Customer Complaint (CC) registration process, ensuring all complaints are indexed and status-tracked.

Requirements

  • Minimum Qualification: Matric with Mathematics.
  • Tertiary Education: Administration certificates are considered a strong advantage.
  • Experience: 2–3 years of experience in a similar role.
  • Industry Knowledge: Experience in a Manufacturing environment or exposure to International logistics/trade is highly beneficial.
  • Software: Previous experience using Syspro is preferred.
