Maintenance Administrator - Bellville, Cape Town - Salary R15,000 to R20,000 p/m (depending on experience and qualifications)

We are seeking an experienced Maintenance Administrative to join our team in Bellville, Cape Town. This is a vital support role within our maintenance & procurement departments. If you have strong administrative skills, enjoy working in a technical and fast-paced environment, and are fluent in both English and Afrikaans, we'd love to hear from you.

️ Key Responsibilities:

Maintenance & General Admin

  • Issue checklists and service sheets for machinery

  • Update the mechanical and electrical check sheet dashboards weekly

  • Review and track clock-ins, timesheets, and ERS hours for maintenance staff

  • Maintain and update machine files, tooling job cards, and registers

  • Load maintenance, electrical, dueling, and facilities requisitions on SYSPRO

  • Capture planned maintenance, breakdowns, and corrective actions

  • Handle incident/accident reports and liaise with the safety coordinator

  • File MJRs, check sheets, and OHC registers

  • Support the WhatsApp maintenance breakdown group

  • Assist with admin tasks from management

Procurement Admin Support

  • Follow up on quotes, orders, and contractor communications (scales, cranes, etc.)
  • Liaise with stores and track procurement progress with the buyer

  • Ensure paperwork is submitted within one business day

  • Track and maintain forklift service documentation

  • Communicate with artisans and store staff on parts and tools

Breakdown & Maintenance Tracking

  • Follow up on breakdown resolutions and contractor timelines

  • Maintain and update maintenance schedules and logs per machine and employee

  • Ensure all administrative records are up-to-date and accurately filed

Minimum Requirements:

  • Education: Matric (required); an administrative qualification is advantageous

  • Experience: 3 to 5 years in a similar administrative support role, preferably in a technical or maintenance environment
  • Skills:

    • Strong organisational and communication skills

    • Experience with SYSPRO or a similar ERP system

    • Proficiency in Microsoft Excel

    • Excellent attention to detail

    • Ability to multitask and work under pressure

    • Must be fluent in English and Afrikaans
