The Role: Service Operations Administrator
We are seeking a detail-oriented and proactive Service Operations Administrator to support billing, job documentation, and operational coordination. This role plays a critical part in ensuring accurate invoicing, correct job costing, and seamless communication between field teams, finance, and clients. It is ideal for someone with strong organizational skills who thrives in a fast-paced environment.

Key Responsibilities

  • Bring a minimum of 2 years experience in billing, operations coordination, or administrative support.

  • Review job tickets, work orders, and field reports to ensure accurate billing.

  • Generate and process invoices in line with union and customer contract terms.

  • Verify labor hours, material costs, and equipment usage for accurate job costing.

  • Work closely with finance to track accounts receivable and resolve discrepancies.

  • Maintain detailed service records, work orders, and completion documentation.

  • Manage dispatch calendars and assist with scheduling preparations.

  • Handle client inquiries regarding billing and service details professionally.

  • Contribute to reporting on billing trends, revenue tracking, and operational efficiency.

About You

  • Minimum 2 years experience in billing, administration, or operations coordination.

  • Background in construction, utilities, or service industries preferred.

  • Strong knowledge of ERP or billing systems; experience with job costing advantageous.

  • Familiarity with contracts, compliance, and union rules is a plus.

  • Proficient in Microsoft Office Suite (Excel, Outlook, Word) and job/accounting software.

  • Highly organized, detail-focused, and able to handle multiple tasks under pressure.

  • Excellent written and verbal communication skills; professional with colleagues and clients.

  • Comfortable working US hours (training requires full US shift before moving to split shifts).

  • Experience supporting US-based operations would be highly beneficial.
