Job Summary:
We are seeking a highly detail-oriented and organized Remote Insurance Certificate Coordinator with experience using Applied Epic software to support daily certificate processing, insurance compliance tracking, and insurance-related administrative operations within a fast-paced environment. This role is responsible for managing Certificates of Insurance (COIs), handling incoming certificate requests with fast turnaround times, tracking contractor and vendor compliance requirements, and supporting clients, carriers, contractors, vendors, and internal teams with insurance documentation and administrative processes. The ideal candidate will have experience in the construction or commercial insurance industry and be comfortable handling certificate requests, policy updates, renewals, inspection recommendation follow-ups, and other insurance-related administrative tasks. This individual must possess strong communication, multitasking, organizational, and problem-solving skills, along with the ability to work efficiently under pressure while maintaining accuracy, professionalism, and responsiveness. Responsibilities also include reviewing insurance documents for accuracy and completeness, maintaining organized tracking systems for requests and compliance matters, communicating required corrections and updates professionally, and ensuring timely follow-up to maintain policy compliance and coverage. The candidate should be capable of managing multiple deadlines simultaneously while supporting account managers and insurance teams as needed. This is a fast-paced operational role requiring speed, accuracy, professionalism, adaptability, and a strong attention to detail. Key Responsibilities:
- Process and issue Certificates of Insurance (COIs).
- Handle incoming certificate requests with fast turnaround times.
- Manage insurance compliance tracking for contractors and vendors.
- Update and maintain records within Applied Epic and internal systems.
- Review insurance documents for accuracy and completeness.
- Maintain organized tracking of certificate requests, updates, and completions.
- Communicate with clients, carriers, contractors, and vendors regarding certificate requests and compliance matters.
- Follow up on certificate requests within 30 minutes when necessary.
- Assist with policy renewals and insurance-related administrative tasks.
- Support account managers and insurance teams as needed.
- Handle multiple certificate requests and deadlines simultaneously.
- Maintain organized documentation and follow established compliance procedures.
- Assist with property insurance certificate processing after onboarding.
- Handle inspection recommendation follow-up.
- Explain insurance company inspection requirements to customers.
- Communicate all required corrections, revisions, and updates in a professional manner.
- Ensure customer follow-through to maintain policy compliance and coverage.
- Perform other duties related to the position as assigned.
Qualifications & Requirements:
- Proficient level of English (written and spoken).
- Excellent interpersonal and communication skills, allowing for effective collaboration with clients, colleagues, and teammates.
- Experience working in the insurance industry preferred.
- Proficiency with Applied Epic software, strongly preferred.
- Experience in handling Certificates of Insurance (COIs).
- Knowledge of construction insurance requirements and compliance standards.
- Familiarity with commercial insurance policies is a plus.
- Strong attention to detail and organizational skills.
- Strong multitasking and problem-solving abilities.
- Experience working with contractors, vendors, carriers, and clients.
- Ability to work independently after training.
- Strong work ethics and professionalism.
- Comfortable adapting to different workflows and operational systems.
