Job Summary:


We are seeking a detail-oriented, and highly organized Remote Administrative & Filing Coordinator to support daily reporting, documentation, and administrative operations for a lead testing company. This role primarily involves reviewing reports submitted by inspectors, checking for accuracy and missing information, properly organizing and filing documentation, and maintaining accurate records and data entry systems. The ideal candidate is responsible, reliable, and able to complete tasks with a high level of accuracy and minimal mistakes while working within structured processes and deadlines. Training will be provided, and the role offers long-term growth opportunities within a fast-paced remote work environment.

Key Responsibilities:

  • Review lead testing reports for accuracy, completeness, and missing information.
  • File, organize, and maintain reports and documentation.
  • Maintain accurate records and data entry systems.
  • Communicate with team members regarding report updates and corrections.
  • Assist with additional administrative and scheduling tasks as needed.
  • Update and maintain records, files, and internal documentation.
  • Support the team with follow-ups, coordination, and daily tasks as needed.
  • Perform other duties related to the position as assigned.

Qualifications & Requirements:

  • Proficient level of English (written and spoken).
  • Excellent professional and communication skills, allowing for effective collaboration with clients, colleagues, and teammates.
  • Detail-oriented with strong accuracy in data entry and administrative tasks.
  • Experience in data entry, operations, or related administrative support roles preferred.
  • Experience with Adobe Acrobat and PDF tools.
  • Comfortable using email and online systems.
  • Highly responsible, reliable, and organized.
  • Proven ability to meet deadlines consistently in a fast-paced environment.
  • Comfortable working within structured processes and established workflows.
  • Ability to quickly learn new systems, software, and workflows.
  • Proficiency with Microsoft Office (Word, Excel, Outlook), and standard business tools (email, spreadsheets, document management).
  • Out-of-the-box thinker, highly adaptable, reliable, self-motivated, and confident approach.
  • Positive attitude and the ability to learn and adapt quickly.
  • Ability to understand and follow established processes accurately with minimal supervision.
  • Ability to work U.S. Eastern Time (New York) business hours and adapt to business needs.
