Job Summary:
We are seeking a highly organized, tech-savvy, and customer-focused Remote Caregiver Specialist to support caregivers with scheduling, availability, timesheets, PTO, documentation, and payment-related inquiries. This role serves as a key administrative point of contact, ensuring caregiver information and requests are accurately documented, processed, and communicated to the appropriate coordinator. The ideal candidate is bilingual in English and Spanish (additional languages is a plus), detail-oriented, resilient, and comfortable handling high-volume communications, including challenging interactions. The Remote Caregiver Specialist will also provide administrative support to coordinators while maintaining confidentiality, following established procedures, and adhering to HIPAA guidelines.
Key Responsibilities:
- Serve as the primary contact for caregivers regarding scheduling, availability, timesheets, PTO, and payment inquiries.
- Handle caregiver calls and follow up on timesheets, documentation, and outstanding requests.
- Update caregiver availability and assist with case matching.
- Process caregiver requests and electronic documents using Adobe or similar tools.
- Maintain accurate caregiver records and system updates.
- Gather information and escalate issues to the appropriate coordinator.
- Handle high-volume communications professionally, including difficult or frustrated callers.
- Follow established procedures and communication templates via phone, email, and text.
- Maintain confidentiality and HIPAA compliance.
- Provide administrative support to coordinators with routine caregiver-related tasks.
- Perform other duties related to the position as assigned.
Qualifications & Requirements:
- Proficient level of English (written and spoken).
- Proficient level of Spanish (written and spoken).
- Excellent communication and problem-solving skills, allowing for effective collaboration with clients, vendors, and teammates.
- Customer service experience, preferably in healthcare or home care.
- Available to work a six-day workweek, 9:00 AM–5:00 PM, including one rotating weekend day (Saturday or Sunday).
- Excellent customer service skills and a professional, resilient attitude when handling difficult callers.
- Highly organized, detail-oriented, persistent, and tech-savvy.
- Comfortable using administrative systems, email, text messaging, and electronic documents.
- Adobe Acrobat/document-signing experience preferred, but not required.
- HIPAA/healthcare experience preferred.
- Ability to accurately document information, follow procedures, and escalate issues when needed.
- Strong attention to detail and ability to manage multiple tasks in a fast-paced environment.
- Ability to quickly learn new systems, software, and workflows.
- Proficiency with Microsoft Office (Word, Excel, Outlook), and standard business tools (email, spreadsheets, document management).
- Out-of-the-box thinker, highly adaptable, reliable, self-motivated, and confident approach.
- Positive attitude and the ability to learn and adapt quickly.
- Ability to understand and follow established processes accurately with minimal supervision.
- Ability to work U.S. Eastern Time (New York) business hours and adapt to business needs.
