Job Summary:
We are seeking a detail-oriented Remote Filing Coordinator (Government Submissions) to prepare, review, and submit inspection documents to government agencies with a high level of accuracy and compliance. This role ensures all filings are complete, properly documented, and submitted within required deadlines while maintaining organized records and tracking systems. The ideal candidate is highly organized, dependable, and able to work efficiently within structured processes in a fast-paced environment, with strong communication and problem-solving skills.
Key Responsibilities:
- Review inspection documents and ensure all required signatures are completed.
- File inspection reports accurately into government websites.
- Review submissions for errors and ensure compliance.
- Follow up with the office for missing details or corrections.
- Research and confirm the correct type of filing when needed.
- Maintain organized records and tracking logs for all submitted filings.
- Monitor submission statuses and follow up with agencies when needed.
- Ensure all filings are completed and submitted within required deadlines.
- Perform other duties related to the position as assigned.
Qualifications & Requirements:
- Proficient level of English (written and spoken).
- Excellent interpersonal and communication skills, allowing for effective collaboration with clients, colleagues, and teammates.
- Experience in customer service, administrative support, data entry, or similar roles.
- Experience with HubSpot is preferred.
- Highly responsive and dependable with a strong sense of responsibility.
- Strong attention to detail, accuracy, and problem-solving skills.
- Excellent organizational and time management skills.
- Proven ability to meet deadlines consistently in a fast-paced environment.
- Comfortable working within structured processes and established workflows.
- Ability to quickly learn new systems, software, and workflows.
- Proficiency with Microsoft Office (Word, Excel, Outlook), and standard business tools (email, spreadsheets, document management).
- Out-of-the-box thinker, highly adaptable, reliable, self-motivated, and confident approach.
- Positive attitude and the ability to learn and adapt quickly.
- Ability to understand and follow established processes accurately with minimal supervision.
- Ability to work U.S. Eastern Time (New York) business hours and adapt to business needs.

Compensation & Benefits:
