Job Summary:

We are seeking an energetic, organized, and proactive Remote Personal Assistant to support the CEO of the company by managing daily administrative tasks, coordinating with the sales team, vendors, and clients, updating projects in Asana, scheduling, preparing reports, conducting research, and ensuring smooth, timely communication in a fast-paced environment. Strong verbal and written English communication skills are required for this role.

Key Responsibilities:

  • Manage and handle daily administrative and operational tasks for the owner.
  • Act as a liaison between the owner and the sales team to ensure effective communication and task completion.
  • Contact and follow up with providers, vendors, and clients to ensure timely updates, smooth processes, and resolution of outstanding requests or orders.
  • Update and track tasks and project progress in Asana.
  • Respond promptly to assigned tasks and keep projects on schedule.
  • Schedule meetings, calls, and calendar appointments for the owner
  • Assist in preparing reports, summaries, or presentations as needed.
  • Conduct basic online research to support ongoing projects and business needs.
  • Perform general administrative and data-related tasks as needed.
  • Perform other tasks related to the position.

Qualifications & Requirements:

  • Proficient level of English (written and spoken).
  • Strong phone and interpersonal communication skills in English (verbally and written) with the ability to effectively engage with cross-functional teams, internal leaders, and providers.
  • Excellent Email etiquette.
  • Excellent interpersonal skills, great attitude and a professional approach to problem-solving, with strong attention to detail and the ability to learn quickly.
  • Energetic, self-motivated, proactive, and eager to contribute to a growing business.
  • Sound judgment and the capacity to comprehend and execute instructions promptly with minimal supervision.
  • Prior experience in roles such as administrative assistant, data entry, secretary, personal assistance, operations support, or other relevant positions.
  • Excellent organizational and follow-up abilities.
  • Proficiency in Microsoft Office (Word, Excel) and Google Workspace (Docs, Sheets).
  • Experience with Asana or other task management tools.
  • Ability to work independently with minimal supervision.
  • Must have a Windows computer (Windows 10 or newer) that is less than 4 years old.
  • Two monitors and a high-speed fiber network or Starlink internet.
