Job Summary:
We are seeking a proactive and detail-oriented Healthcare Admin and Personal Assistant to join our team and support essential healthcare administrative tasks. In this role, you will manage prior authorization paperwork, communicate directly with doctors offices, and provide day-to-day personal and administrative assistance. This role requires strong communication skills, excellent attention to detail, exceptional follow-up skills, and the ability to keep multiple tasks organized using ClickUp. You´ll play a key role in ensuring that healthcare paperwork is completed efficiently and that communications flow smoothly between our team and healthcare providers.

Key Responsibilities:

  • Complete and manage prior authorization paperwork and other medical forms accurately.
  • Fill out necessary forms before sending or faxing them to doctors offices for signature.
  • Call doctors offices to request signatures and ensure required documents are received.
  • Contact and communicate regularly with pediatricians and other healthcare providers to request signatures and facilitate document processing.
  • Follow up consistently to ensure doctors receive, sign, and return the required paperwork in a timely manner.
  • Track and manage assigned tasks, documents, and deadlines using ClickUp and other software.
  • Understand and apply knowledge of different insurance requirements (training will be provided).
  • Provide general personal assistant support, including document handling, faxing, and proactive issue resolution to maintain smooth operations.
  • Perform other tasks related to the position.

Qualifications & Requirements:

  • Advanced level of English (written and spoken).
  • Strong communication skills in English (spoken and written) with the ability to effectively engage with cross-functional teams, internal leaders, and providers.
  • Excellent interpersonal skills, with strong attention to detail and the ability to learn quickly.
  • Self-motivated, proactive, solution-oriented, with a strong sense of responsibility and the ability to follow through on assigned tasks.
  • Prior experience in roles such as administrative assistant, data entry, secretary, personal assistance, healthcare administration, operations support, or other relevant positions.
  • Excellent organizational and follow-up abilities.
  • Familiarity with healthcare paperwork and prior authorizations preferred but not required.
  • Experience with ClickUp; familiarity with other task management tools is a plus.
  • Proficiency in Microsoft Office 365 (Word, Excel, Outlook).
  • Ability to work independently with minimal supervision.
  • Must have a Windows computer (Windows 10 or newer) that is less than 4 years old.
  • Two monitors and a high-speed fiber network or Starlink internet.
