Job Summary:
We are seeking a highly organized and customer-focused Remote Property Management Assistant to support our growing real estate property management operations. The ideal candidate will have experience in property management, billing, and client communications. This role is critical in supporting administrative functions for residential or commercial real estate portfolios, ensuring timely billing and delivering excellent service to tenants, property owners, and internal teams.
Key Responsibilities:
- Respond to billing-related inquiries from real estate tenants and owners via phone and email with accuracy and professionalism.
- Perform administrative tasks including data entry, documentation, and updating customer records.
- Resolve customer concerns promptly, escalating complex issues to the appropriate departments when necessary.
- Maintain high levels of customer satisfaction through empathetic and courteous communication.
- Stay informed about real estate services, policies, and procedures to deliver accurate support.
- Review, verify, and process invoices, payments, and account adjustments.
- Investigate and resolve billing discrepancies and disputes professionally and efficiently.
- Collaborate with internal departments to ensure timely issue resolution.
- Assist with account questions, billing statements, and general tenant support.
- Maintain detailed and organized records of all customer interactions.
- Contribute to process improvement initiatives and suggest workflow enhancements.
- Consistently meet or exceed performance metrics such as response time, resolution rate, and customer satisfaction.
Qualifications & Requirements:
- Advanced level of English (written and spoken).
- Excellent communication, interpersonal, and problem-solving skills.
- Experience in a billing or customer service role and/or within property management.
- Experience as a secretary is a plus.
- Prior experience in billing, customer service, or real estate property management required.
- Strong understanding of property management billing (e.g., rent, maintenance, late fees).
- Exceptional attention to detail and strong organizational skills.
- Ability to multitask and meet deadlines in a fast-paced remote environment.
- Knowledge of Microsoft Office (Excel, Word) and CRM platforms.
- Professional phone etiquette and customer service mindset.
- Ability to work independently and remotely with minimal supervision.
- Must have a Windows computer (Windows 10 or newer) that is less than 4 years old.
- Two monitors and a high-speed fiber network or Starlink internet.
