Job Summary:


We are seeking a Remote Commercial & Customer Service Coordinator (Kitchen Program) to support a new government-funded program serving commercial kitchen customers. This role will be responsible for communicating with customers, conducting outreach, scheduling appointments, collecting required information and videos, submitting documentation, and following applications through the approval process. The position also requires working with a new software system specifically developed for the program. Training will be provided, but the ideal candidate must be highly intelligent, adaptable, and comfortable learning new technology and processes quickly. In this role, you should be able to recognize when information, software, or processes are not working correctly and communicate issues clearly. Because this is a new program, the successful candidate must be responsible, organized, proactive, and comfortable working independently, taking ownership of their responsibilities, troubleshooting basic issues, researching solutions, and keeping tasks moving forward without constant supervision. Strong communication, customer service, attention to detail, and follow-up skills are essential for success in this role.

Key Responsibilities:

  • Communicate professionally and courteously with commercial kitchen customers.
  • Conduct customer outreach and schedule appointments.
  • Explain the program and guide customers through the process.
  • Collect required information, documents, and commercial kitchen videos.
  • Upload videos, documents, and other required information into the company's software.
  • Submit required information through applicable government and utility program systems.
  • Track applications and follow up on their status.
  • Follow up with customers when additional information or documentation is required.
  • Monitor applications from submission through approval.
  • Learn and effectively use the client's newly developed software.
  • Identify software issues, errors, or problems and communicate them clearly to the client.
  • Troubleshoot basic issues independently when possible.
  • Maintain organized records and ensure tasks are completed accurately and on time.
  • Take initiative, research solutions, and figure things out independently rather than waiting for constant instructions.
  • Perform other duties related to the position as assigned.

Qualifications & Requirements:

  • Proficient level of English (written and spoken).
  • Strong communication and interpersonal skills, with the ability to communicate professionally and effectively with clients.
  • Previous customer service, operations, administrative, scheduling, outreach, or software experience preferred.
  • Positive, proactive, solution-oriented, and strong in problem-solving and critical thinking.
  • Strong customer service skills and a friendly, professional personality.
  • Comfortable working with new technologies, unfamiliar software, and evolving systems.
  • Strong attention to detail and accuracy, time-management, and follow-up skills.
  • Comfortable communicating with customers and conducting outbound outreach.
  • Able to identify problems, assess situations, and communicate issues clearly.
  • Resourceful, able to take initiative, research solutions, and figure things out independently.
  • Strong organizational and follow-up skills with the ability to manage multiple priorities in a fast-paced environment.
  • Self-motivated with the ability to work independently and follow established processes.
  • Quick learner with the ability to adapt to new systems and workflows.
  • Creative, resourceful, and proactive with an out-of-the-box mindset.
  • Proficiency with Microsoft Office (Word, Excel, Outlook), and standard business tools (Google sheet, spreadsheets, document management).
  • Ability to work U.S. Eastern Time (New York) business hours and adapt to business needs.
