Job Summary:
We are seeking a reliable and detail-oriented Remote Leasing Operations Coordinator to support daily operations for residential or commercial properties. In this role, you will support the leasing department by managing all tasks related to tenant move-outs, unit turnover, inspections, broker coordination, and new tenant move-ins. This role ensures a smooth transition between occupants while maintaining excellent communication with tenants, brokers, and internal staff.
Key Responsibilities:
Move-Out & Unit Turnover
- Serve as the primary point of contact for tenants vacating their units.
- Coordinate move-out appointments, key returns, and final walkthroughs as needed.
- Track unit turnover timelines and ensure all required maintenance, cleaning, and repairs are completed promptly.
- Communicate with supers, maintenance staff, and vendors to confirm unit readiness.
Leasing & Broker Coordination
- Work closely with brokers to market available units and schedule showings.
- Provide brokers with updated unit information, access instructions, and building requirements.
- Track all incoming applications and follow up with brokers until a qualified tenant is secured.
- Maintain up-to-date records of listing status, showing activity, and applicant progress.
Inspections & Compliance
- Schedule and follow up on inspection requests, including pre-lease inspections, HPD/Section 8 inspections, and other required reviews.
- Ensure all units meet compliance standards prior to lease signing and move-in.
Move-In Coordination
- Communicate approval status to new tenants and guide them through the move-in process.
- Provide clear move-in instructions, including access details, building rules, and required documentation.
- Ensure all lease documents are fully executed and filed properly before move-in.
- Confirm that unit keys, codes, and amenities are ready for the incoming tenant.
Administrative & Support
- Maintain accurate and organized records of all leasing activity in the management system.
- Report leasing progress and vacant unit status to management regularly.
- Assist with other leasing or administrative tasks as needed.
- Perform other tasks related to the role.
Qualifications & Requirements:
- Proficient level of English (written and spoken).
- Comfortable interacting with tenants, brokers, and staff in a professional manner.
- Highly organized with the ability to manage multiple units and timelines simultaneously.
- Detail-oriented, proactive, and able to work independently.
- Responsive and able to follow through on tasks promptly.
- Strong ability to coordinate between multiple parties and ensure smooth transitions.
- Experience in customer service, billing, or administrative support preferred.
- Prior experience in billing, customer service, or real estate property management preferred.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace (Docs, Sheets), preferred.
- Sound judgment and the capacity to comprehend and execute instructions promptly with minimal supervision.
- Must have a second screen/monitor to perform the job correctly.
- Reliable computer (Windows 10 or newer), two monitors, and stable high-speed internet.
