Job Summary:


We are seeking a capable, proactive, and highly organized Remote Executive Assistant (Childcare Brokerage) to work closely with the owner of a childcare brokerage business. The ideal candidate will serve as a trusted right-hand assistant, helping manage day-to-day responsibilities, including calendar management, scheduling, client follow-ups, phone calls, emails, and task tracking. The successful candidate will be dependable, resourceful, detail-oriented, and highly proactive, with the ability to work independently, take ownership of responsibilities, and ensure tasks are completed accurately and on time. This role offers an opportunity for a motivated professional to grow into a key position within the company.

Key Responsibilities:

  • Manage and maintain the client's calendar and schedule.
  • Coordinate appointments and meetings.
  • Follow up with clients and contacts as needed.
  • Handle incoming and outgoing phone calls professionally.
  • Track tasks and monitor progress to ensure timely completion.
  • Manage emails and routine correspondence.
  • Prepare and organize documents, reports, and other administrative materials.
  • Support daily operations and assist with other administrative tasks as needed.
  • Perform other duties related to the position as assigned.

Qualifications & Requirements:

  • Proficient level of English (written and spoken).
  • Excellent communication and problem-solving skills, allowing for effective collaboration with clients, vendors, and teammates.
  • Previous operations or administrative management experience preferred.
  • Proactive with the ability to manage multiple responsibilities independently.
  • Strong sense of ownership, accountability, and problem-solving.
  • Excellent organizational skills with the ability to manage schedules, and daily operations.
  • Strong attention to detail and ability to manage multiple tasks in a fast-paced environment.
  • Strong problem-solving skills with the ability to work independently.
  • Proficiency with Microsoft Office (Word, Excel, Outlook), and standard business tools (email, spreadsheets, document management).
  • Out-of-the-box thinker, highly adaptable, reliable, self-motivated, and confident approach.
  • Ability to quickly learn new systems, software, and workflows.
  • Ability to understand and follow established processes accurately with minimal supervision.
  • Ability to work U.S. Eastern Time (New York) business hours and adapt to business needs.
