The Headhunter LTD in Albania, a daughter company of The Headhunter Karriera LLC USA, is recruiting on behalf of its client – a newly established Business Process Outsourcing (BPO) organization experiencing significant growth. Our client delivers end-to-end business solutions to a global portfolio of companies and is seeking a detail-oriented Payroll Specialist to join their people operations team.

Role Overview

As a Payroll Specialist, you will own end-to-end payroll processing for a dynamic BPO workforce, ensuring employees are paid accurately and on time every cycle. You will serve as a trusted resource for payroll-related inquiries and partner closely with HR and Finance to maintain compliance and data integrity across multiple client accounts and jurisdictions.

Key Responsibilities

  • Process full-cycle payroll for salaried and hourly employees in compliance with Albanian Labour Law and applicable regulations
  • Verify and reconcile timekeeping data, deductions, bonuses, commissions, shift differentials, and other BPO-specific pay components
  • Maintain and update employee payroll records in HRIS/payroll systems with a high degree of accuracy
  • Ensure compliance with Albanian tax legislation, social security contributions (ISSH), health insurance obligations, and mandatory reporting to tax authorities
  • Prepare payroll reports, journal entries, and reconciliations for Finance and Accounting teams
  • Respond to employee inquiries regarding pay slips, personal income tax (tatimi mbi të ardhurat), and deductions in a timely manner
  • Identify and resolve payroll discrepancies, partnering with HR and operations managers as needed
  • Support year-end processes including annual tax declarations and reconciliations
  • Assist in the continuous improvement of payroll processes and system enhancements in a fast-paced BPO environment

Qualifications & Requirements

Education & Experience

  • 2–5 years of hands-on payroll processing experience, preferably within a BPO, shared services, or high-volume environment
  • University Degree in Accounting, Finance, Human Resources, or a related field
  • Payroll certification is an asset

Technical Skills

  • Proficiency with local payroll platforms and familiarity with Albanian payroll software (e.g., Financa 5 or similar)
  • Strong working knowledge of Microsoft Excel (pivot tables, VLOOKUP, data reconciliation)
  • Familiarity with payroll tax regulations in Albania, including obligations toward the General Tax Directorate (DPT) and the Social Insurance Institute (ISSH)

  • Exceptional attention to detail and numerical accuracy
  • Strong organizational skills with the ability to manage tight deadlines in a high-volume setting
  • Discretion in handling confidential employee and compensation data
  • Clear and professional communication skills — written and verbal (Albanian required; English a strong asset)
