Operations Coordinator

Are you a detail-oriented individual with a knack for juggling multiple responsibilities seamlessly? We're seeking an Operations Coordinator to join our dynamic team in the Finance department. As an Operations Coordinator, you'll play a crucial role in ensuring the smooth execution of logistical, supply chain, HR, legal, and customer service functions within our organization.

Key Responsibilities:

Logistics:

  • Oversee custom clearance processes and warehouse organization.
  • Manage stock levels in customs warehouse and provide regular reports to sales teams.
  • Coordinate customs excise stamps procedures and registrations, ensuring compliance with regulations.

Supply Chain:

  • Organize order processing and transportation, liaising between headquarters and logistics teams.
  • Ensure timely delivery of goods and communicate effectively with all stakeholders.

HR Responsibilities:

  • Maintain employee files, ensuring documentation compliance and data exchange with headquarters HR.
  • Manage employee contracts, annual leave registrations, and medical checks.
  • Prepare monthly HR reports and oversee office access records and salary timesheets.

Legal:

  • Monitor contracts with customers and vendors, coordinating with legal departments both locally and at headquarters.
  • Prepare monthly legal reports and debtor lists to ensure compliance and transparency.

Customer Service (Finance):

  • Maintain constant communication with customers regarding dues and payments.
  • Conduct reconciliations and prepare analytical reports.
  • Compile lists of customers for legal processing when necessary.

Qualifications:

  • Bachelor's degree in Business Administration, Finance, or related field.
  • Proven experience in operations coordination or similar roles.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in MS Office suite and relevant software applications.
  • Knowledge of customs clearance procedures and legal compliance preferred
