Position Overview
We are seeking a highly skilled and experienced Executive Assistant to provide dedicated support to the CEO of a dynamic organization. This is a fully on-site role requiring presence five days a week, and is ideal for a seasoned EA who has supported C-suite leadership — ideally a CEO — and thrives in a fast-paced, high-visibility environment. The right candidate brings polished communication skills, exceptional organizational instincts, and the ability to manage competing priorities with discretion and professionalism.
Key Responsibilities
- Provide comprehensive administrative support to the CEO and other senior leaders, including drafting correspondence, preparing presentations, reports, and press releases
- Manage organizational contacts, attend meetings, and prepare and distribute meeting minutes
- Assist with research grant applications, track grant reporting, and perform web research on federal research funding trends
- Identify articles and opportunities of interest by reviewing websites and printed media
- Serve as the first point of contact for the executive office, triaging calls and communications from other departments, donors, media, scientists, politicians, advocacy partners, and external stakeholders
- Schedule meetings, arrange travel, and process reimbursements in a timely and accurate manner
- Sort mail, order supplies, and handle general office coordination responsibilities
Requirements
- Prior experience as an Executive Assistant, ideally supporting a CEO or equivalent C-suite executive
- Must be able to work on-site five days a week — this is not a remote or hybrid position
- Proficient with MS Teams and standard Microsoft Office suite
- Bachelor's Degree in a related field, or equivalent combination of education and additional experience
Preferred Qualifications
- Experience in a healthcare, research, or nonprofit environment
- Familiarity with grant reporting processes and research administration
- Demonstrated ability to manage stakeholder communications across a broad range of audiences including media and government contacts
