Administrative Assistant
Location: Los Angeles, California
Pay Rate: $20.00 – $22.00 per hour
Position Overview
Our client, a consumer beauty products organization, is seeking an Administrative Assistant for an onsite, three-month contract engagement in Los Angeles, California. The role provides broad administrative and office support to a busy commercial team.
This position suits an organized, proactive administrator who anticipates needs rather than waiting to be asked. It offers varied day-to-day work in a fast-moving consumer products environment and genuine visibility across the business.
Key Responsibilities
You will provide general administrative support including calendar and meeting coordination, travel booking, expense report preparation, and the drafting and formatting of documents, presentations, and correspondence.
You will manage incoming calls, emails, and mail, routing items to the right people and following up to ensure requests are closed out, and you will maintain organized digital and physical filing systems that colleagues can actually navigate.
You will support routine business processes including purchase order creation, invoice tracking and submission, vendor coordination, and data entry into company systems, maintaining accuracy in every record you touch.
You will assist with office operations such as supply management, meeting room and event logistics, visitor reception, and new starter setup coordination, and provide project support to departments as workload requires.
You will maintain shared calendars, trackers, and team documentation so that colleagues can find current information without asking, and you will follow up proactively on outstanding items rather than waiting for reminders. You will also support onboarding logistics for new team members, coordinating equipment, access, and first-week scheduling with the relevant internal contacts.
Requirements
Prior administrative assistant, receptionist, office coordinator, or comparable support experience is required, along with a high school diploma or equivalent.
Proficiency in Microsoft Office applications including Outlook, Word, Excel, and PowerPoint is required, together with accurate data entry and comfortable general computer literacy.
You must demonstrate strong organizational skills, the ability to manage multiple requests and prioritize sensibly, discretion with confidential information, and clear professional communication. The role is fully onsite in Los Angeles, California.
Preferred Qualifications
Experience in the beauty, cosmetics, consumer products, or retail sector is preferred. An associate or bachelor's degree is advantageous but not required.
Familiarity with Google Workspace, ERP or order management systems, and basic accounts payable or bookkeeping processes is valued. Bilingual capability, event coordination experience, and any exposure to marketing or sales support are also viewed favorably.
Experience in a fast-moving consumer goods or retail environment where priorities shift frequently is valued. Familiarity with shipping and order documentation, comfort supporting multiple managers with competing requests, and any experience coordinating trade shows, product launches, or team events are all advantageous.
Compensation and Benefits
This engagement pays an hourly rate in the range of $20.00 to $22.00, based on experience, across a three-month contract with a defined end date.
You will work onsite with a collaborative commercial team in a consumer products environment, gaining exposure across multiple business functions and building transferable administrative experience. Extension or conversion may be possible depending on performance and continued organizational need.
This is a contract engagement placed through our recruiting team. We work closely with our contract professionals throughout the assignment, from onboarding and first-week check-ins through to end-of-contract planning, and we actively look for the next opportunity for people who deliver well. Many of our contract placements lead to extensions, repeat assignments, or permanent conversion.
We are an equal opportunity employer. All qualified applicants receive consideration for employment without regard to race, color, religion, sex, sexual orientation, gender identity, national origin, age, disability, protected veteran status, or any other characteristic protected by applicable law. Reasonable accommodations are available during the application and interview process on request. Applicants must be legally authorized to work in the United States for the duration of the engagement.
