- Position Overview
We are seeking a highly organized Business Meeting Coordinator to serve as a key liaison between the GM, SPEV-MD, and SPEV Department Heads.
This role includes responsibilities such as recording Minutes of Meetings (MoM), following up on action items, and ensuring smooth coordination of business meetings.
The coordinator will be responsible for:
- Capturing and synthesizing meeting discussions
- Tracking timelines and deliverables
- Ensuring executive leadership remains informed and aligned across all business units
Additionally, the role will support the BD Head by:
- Tracking BD team performance report
- Preparing sales reports
- Managing the documentation and filing of signed sales contracts
Key Responsibilities:
- Attend and document meetings across Business Units and departments, producing clear and actionable minutes
- Track follow-ups, deadlines, and progress on discussion items, ensuring accountability and timely execution
- Prepare concise executive summaries and progress reports for Local MD/MD.SEA
- Coordinate with subsidiary teams to gather updates and clarify action items
- Maintain a centralized system for meeting documentation and strategic tracking
- Support the local Md/MD.SEA in prioritizing initiatives and identifying bottlenecks
- Ensure consistency and alignment in communication across business units
- Assist in preparing briefing materials for executive meetings and decision-making
- Supporting BD Head to do Sales reports and working with BD team to monitoring Sales Performance KPIs tracking report.
- BD documentation controlling.
3. Qualifications
- Bachelors degree in business administration, Communications, or related field
- 2+ years of experience in executive support, project coordination, or corporate governance
- Exceptional written and verbal communication skills
- Strong organizational and time-management abilities
- Proficiency in Microsoft Office Suite and collaboration tools (e.g., Teams, SharePoint)
- Ability to handle confidential information with discretion
- Comfortable working in a fast-paced, multi-stakeholder environment
