The Port Operations Coordinator is responsible for managing and coordinating all activities related to vessel operations at assigned ports. This role involves ensuring compliance with operational standards, addressing customer inquiries, and maintaining effective communication with all stakeholders.
Permanent job: 2 days working from home.
Key Responsibilities:
- Attend and board vessels as required, following directives from the respective manager in alignment with company policies and customer requirements.
- Effectively coordinate all assigned port calls to ensure smooth operations.
- Handle vessel activities and respond to customer inquiries in the absence of the Point of Contact (PIC).
- Update travel itineraries and arrange necessary hotel bookings for staff.
- Follow up on Pre-Departure Authorizations (PDA) and pre-funding arrangements with customers and General Agents prior to vessel arrival.
- Advise on the selection of contractors for goods and services provided to principals, including submitting competitive quotations as needed.
- Ensure compliance with port service processes, standards, and procedures, including the proper use of the operating system (WASP).
- Enforce the mandatory use of WASP as a reporting tool in accordance with standard operating procedures (SOP).
- Monitor vessel activities and address any follow-up inquiries promptly.
- Confirm the correct amount of pre-funding is received or that necessary approvals for deviations are obtained before the port call, and ensure additional funding is secured prior to the vessels departure.
- Establish and maintain organized vessel files, ensuring all transactional systems are updated in real-time.
- Maintain proactive, efficient, and timely communication with all stakeholders.
- Report leads, business opportunities, and relevant port updates to the manager.
- Monitor and document expenses incurred during vessel port calls.
- Ensure compliance with Cash-in-Transit (Cash to Master) procedures as per WSS guidelines.
- Proactively follow up on, review, and approve supplier invoices.
- Ensure cost-effective vessel operations.
Qualifications:
- Bachelors degree in Maritime Studies, Logistics, Business Administration, or a related field.
- Previous experience in port operations or maritime logistics is preferred.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Proficiency in using operational software and tools, particularly WASP.
- Ability to work independently and as part of a team.
- Strong attention to detail and problem-solving abilities.
