About the Role
We are looking for a reliable, detail-oriented, and highly organized Executive Assistant to support senior partners at a fast-paced law firm. This role plays a vital part in ensuring day-to-day operations run smoothly by managing calendars, coordinating meetings, handling communications, and providing administrative support that allows legal professionals to focus on high-value client work. The ideal candidate has strong initiative, excellent communication skills, and the ability to handle confidential matters with professionalism and discretion. Prior experience supporting executives or attorneys is highly preferred.
Key Responsibilities:
- Coordinate and manage complex and dynamic calendars for senior legal professionals, ensuring efficient scheduling and prioritization of appointments, meetings, and deadlines.
- Arrange and confirm meetings, calls, and engagements, while proactively resolving scheduling conflicts and ensuring all logistics are in place.
- Monitor timelines, action items, and key deliverables to support the timely completion of tasks and follow-through on commitments.
- Provide comprehensive support for virtual and in-person meetings, including agenda preparation, material coordination, and meeting setup.
- Serve as a professional point of contact for internal teams, clients, and external partners, handling communications with discretion and efficiency.
- Draft, format, and proofread professional correspondence, reports, and internal documents in alignment with the firms standards.
- Maintain organized digital and physical filing systems, tracking notes, records, and important information to support continuity and access.
- Support travel planning and coordination, and assist with general administrative functions that facilitate the day-to-day operations of the legal team.
Qualifications:
- Minimum of 23 years of experience in an Executive Assistant, Administrative Assistant, or Legal
- Secretary role; law firm or corporate legal department experience is a plus
- Proficient in Microsoft Office Suite, especially Outlook, Teams, Word, and Excel
- Excellent written and verbal communication skills
- Strong organizational and multitasking abilities
- Able to manage sensitive and confidential information with discretion and good judgment
- Self-motivated, responsive, and able to work independently with minimal supervision
