Position Summary
The Medical Chart Preparation Specialist is responsible for accurately reviewing and transferring critical patient medical history from previous Electronic Health Record (EHR) systems into the new EHR platform. This role ensures providers have access to complete and up-to-date medical information before patient visits, enhancing care quality and operational efficiency.
This position offers flexible working hours, as chart preparation can be completed asynchronously from the clinical team. However, all records must be finalized before scheduled patient visits.
Essential Job Functions
- Medical Data Review & Entry: Efficiently review prior patient records from eMDs or stored data files and transfer necessary details into Greenway Intergy, ensuring completeness and accuracy.
- Workflow Adherence: Follow established protocols for medical data extraction, review, and entry to maintain consistency and compliance.
- Quality Assurance: Ensure the accuracy and completeness of medical information to support clinicians in delivering high-quality patient care.
- Regulatory Compliance: Maintain strict adherence to HIPAA regulations, Medicare guidelines, and company policies to safeguard patient confidentiality.
- Process Improvement: Identify opportunities to optimize workflow efficiency and improve data accuracy.
- Communication & Collaboration: Work effectively with internal teams, including clinicians and administrative staff, to resolve discrepancies and ensure seamless data integration.
- Task Management: Utilize a daily checklist to track progress, maintain workflow consistency, and complete tasks on schedule.
- Professional Development: Stay updated on industry best practices, medical terminology, and EHR system updates.

Minimum Qualifications
- Nursing Equivalent Certification or relevant clinical experience
- Proficiency in reviewing and interpreting medical records
- Experience with chart preparation and EHR systems (Greenway Intergy preferred)
Preferred Qualifications
- Prior experience working in a family medicine or primary care setting
- Knowledge of medical coding, terminology, and documentation best practices
- Strong understanding of Medicare guidelines and HIPAA regulations
Knowledge, Skills & Abilities
- Detail-Oriented: High level of accuracy in reviewing and entering medical data.
- Technical Proficiency: Strong computer skills with experience in Microsoft Outlook and EHR software.
- Analytical Thinking: Ability to interpret patient records and determine relevant information for chart preparation.

- Communication Skills: Clear and professional written and verbal communication skills.
