The Role

We are seeking a highly organized and efficient Medical Virtual Assistant to support our healthcare team. The ideal candidate will have experience in the medical field and possess strong administrative and communication skills. This role involves assisting healthcare providers with administrative tasks, patient communication, and ensuring smooth operation of daily activities, all from a remote location.

Key Responsibilities:

  • Administrative Support: Manage and organize electronic health records (EHR), schedule appointments, and handle patient inquiries via phone, email, or messaging platforms.
  • Patient Communication: Serve as the first point of contact for patients, providing information, answering questions, and directing them to appropriate resources.
  • Medical Documentation: Assist in documenting patient encounters, updating medical records, and ensuring accuracy in data entry.
  • Billing and Coding Assistance: Support the billing process by preparing and submitting insurance claims, handling billing inquiries, and following up on outstanding claims.
  • Telehealth Coordination: Schedule and coordinate telehealth appointments, ensuring patients have the necessary information and technical support for virtual visits.
  • Prescription Management: Assist in managing prescription refill requests and coordinate with pharmacies to ensure timely medication dispensing.
  • Patient Follow-Up: Conduct follow-up calls or messages to patients for appointment reminders, lab results, or treatment plan adherence.
  • Data Management: Maintain organized and secure files, ensuring compliance with HIPAA and other privacy regulations.
  • Task Coordination: Work closely with healthcare providers to prioritize tasks and manage their schedules effectively.

Qualifications:

  • Experience: Minimum of 1-2 years of experience as a medical assistant, administrative assistant, or in a related healthcare role. Experience as a virtual assistant is a plus.
  • Education: High school diploma or equivalent required. Additional training or certification in medical administration is preferred.
  • Technical Skills: Proficient in using EHR systems, telehealth platforms, and common office software (e.g., Microsoft Office, Google Workspace).
  • Communication Skills: Excellent verbal and written communication skills, with the ability to interact professionally with patients and healthcare providers.
  • Organizational Skills: Strong ability to multitask, prioritize, and manage time effectively in a remote work environment.
  • Attention to Detail: High level of accuracy in data entry, record-keeping, and following medical protocols.
  • Confidentiality: Understanding of HIPAA and maintaining patient confidentiality at all times.

Working Conditions:

  • Work Arrangement: ONSITE
  • Work Schedule: US time zone M - F within office hours. Must have flexibility and willing to work in some weekend shift, depending on the business needs.
