Overview
We seek a reliable, detail-oriented personal assistant to manage our patient booking platform and serve as a liaison between patients and doctors. This role requires flexibility, strong communication skills, and the ability to manage interactions across various channels.
The ideal candidate is organized, attentive to detail, and motivated to deliver excellent support.
Core Responsibilities
- Serve as the main point of contact for individuals reaching out through our patient booking platform and affiliated websites.
- Respond quickly and carefully to email, WhatsApp, Messenger, Instagram, LinkedIn, and other platforms inquiries.
- Tailor responses to each contacts preferred method of communication.
Secondary Responsibilities
- Support with client work, one-off projects, and calendar management.
- Oversee project and campaign timelines, ensuring tasks are completed on time.
- Regularly check websites for broken links, UX issues, and areas for improvement.
- Use a critical eye to spot and suggest improvements to user experience and general functionality.
- Search for new client leads using provided guidelines and resources.
Performance Expectations
- Timeliness: Respond to all initial inquiries within 10 minutes. (or identify a system that can do so automatically that meets our objectives)
- Quality of Interactions: Maintain high customer satisfaction and personalized responses.
- Follow-through: Track and complete all assigned tasks within project timelines.
Must-Have Skills
- Prompting Skills: Comfortable using GPT, Claude, and similar tools, with a strong sense of when responses need human editing.
- Critical Thinking: Ability to assess priorities and tasks effectively.
- Empathy: Skilled in professional, understanding communication.
- Self-starter: Works independently with minimal oversight.
- Attention to Detail: High standard for correct spelling and grammar.
- Fluent in English: Strong written and verbal communication skills.
- Reliable Internet: A stable WiFi connection is needed to ensure productivity.
- Professional Communication: Skilled in managing a variety of communication styles and preferences
- Social Media Awareness: Active LinkedIn profile and understanding of social media engagement.
- Timeliness: Sense of urgency and quick response to time-sensitive requests.
- UX Awareness: Familiarity with good user experience standards.
- Proactive: Takes initiative and offers solutions.
Nice-to-Have Skills
- Familiarity with Canva, SEO, and WordPress.
- Knowledge of Google Analytics, MailChimp, and email scraping tools.
- Experience with GMB and process-driven systems.Able to suggest tools and systems to improve efficiency.
Additional Requirements
- Previous experience in a personal assistant, customer support, or similar role.
- Ability to handle sensitive information with confidentiality.
- Preferred hours of availability or time flexibility requirements.
