The Role:

This position is administrative, operations and customer service focused. Talking/corresponding with insurers, loss adjusters and property owners to update on site attendances, issuing of reports and repair scopes, ensure customer satisfaction and responding to all incoming correspondence via phones and emails. 

MAIN DUTIES/RESPONSIBILITIES:

  • Manage email inboxes (Office, accounts, Principal).
  • Manage calendars and bookings.
  • Reply to emails & forward emails to the person the email relates to on a daily basis (manage team workflows).
  • Accept New Claims from our clients - Insurance Companies and Loss Adjusters.
  • Answer phone calls from our Insurers, Customers, Suppliers & Internal staff on a daily basis & be able to assist where necessary, transfer calls to the correct Building
  • Consultant where necessary.
  • Set up new files, OneNote notebooks, document templates for new instructions.
  • Update WIP notes and job files as work on files is completed, updated or events occur.
  • Word Processing, document formatting, file management.
  • Preparation and data entry population of builder claim assessments in Microsoft Excel to assist the Building Consultants.
  • Prepare and issue purchase orders in Xero to subcontractors under the direction of the
  • Principal and Associate Building Consultant.
  • Upload receipts/tax invoices to Xero for purchases.
  • Follow up debtors.
  • Prepare and issue weekly job updates to clients.
  • Project Administration assistance.
  • General filing of Jobs
  • Assist other staff if needed data entry.
  • Accept claims and initiate the claims process in accordance with standards of customer service and efficiency
  • Provide and receive detailed, accurate and timely information to and from subcontractors to ensure quality of service to our customers.
  • Maintain good working relationships with clients to ensure trust and quality of service.
  • Communicate effectively and consistently with clients to ensure relevant information is presented and potential issues are dealt with.
  • Update and escalate issues to senior management in regard to client communication.
  • Assist in auditing client and internal systems.
  • Perform compliance checks of internal systems to ensure all information is correct and up to date
  • Ensure best practice customer service at all times.
  • Take responsibility for customer service throughout the entire claims process.
  • Ensure pro-active customer service is exercised and the customer is kept up to date at all times
  • Be accountable for your own actions at all times.
  • Contribute to and comply with all statutory legislation including the relevant Health and
  • Safety policies and procedures applicable to the Company.

SKILLS & EXPERIENCE:

  • Experience in a similar role within the insurance building or claims space is highly desirable.
  • Experience in construction industry, insurance call center, engineering firms are considered.
  • Experience working for a underwriter are considered.
  • Administration, calendar and email management experience.
  • Worked with an Australian client as an admin assistant.
  • High-level computer skills across systems and Microsoft Office suite of programs
  • A good typing speed.
  • Keen attention to detail
  • Excellent verbal and written communication skills.
  • A proactive nature and be keen to work as a member of a highly successful, KPI driven team.
  • A great attitude

Working Conditions:

  • Work Schedule: Will adhere to Australian Time Zone. Must be amenable to shifting schedules.
  • Work Arrangement: Office
