Role Summary:
The Procurement Agent is responsible for sourcing, negotiating, and procuring goods and services required by the organization. This role involves building strong relationships with suppliers, ensuring timely deliveries, and maintaining cost-effective procurement practices while adhering to company policies and standards.
Key Responsibilities:
- Sourcing & Vendor Management:
- Identify reliable suppliers and vendors to source quality products and services.
- Evaluate supplier performance and maintain strong relationships.
- Maintain an up-to-date supplier database.
- Negotiation & Contracting:
- Negotiate contracts, pricing, and terms with suppliers to ensure cost savings.
- Draft and review procurement agreements in collaboration with the legal team if required.
- Order Management:
- Prepare and process purchase orders (POs) and requisitions.
- Ensure accurate order tracking and timely deliveries.
- Coordinate with vendors to resolve issues related to delayed or incomplete shipments.
- Market Analysis:
- Research market trends, product availability, and pricing strategies.
- Monitor changes in the supply chain and adjust procurement strategies accordingly.
- Compliance & Documentation:
- Ensure all procurement activities comply with company policies and procedures.
- Maintain accurate records of purchases, contracts, and relevant documents.
- Cost Control:
- Monitor budgets and work to achieve cost efficiencies without compromising quality.
- Identify opportunities for cost reductions and process improvements.
- Collaboration:
- Work closely with internal departments to understand their procurement needs.
- Collaborate with finance teams to manage payment processes and resolve billing issues.
- Reporting:
- Prepare periodic reports on procurement activities, savings achieved, and supplier performance.
- Provide recommendations for enhancing procurement processes.
Qualifications:
- Bachelors degree in Business Administration, or related field.
- Proven experience as a Procurement Agent or similar role.
- Strong negotiation and communication skills.
- Proficiency in procurement software and MS Office Suite.
- Familiarity with supply chain processes and vendor management.
- Analytical and problem-solving skills.
- Ability to work under pressure and meet deadlines.
Preferred Skills:
- Experience with ERP systems.
- Knowledge of contract law and compliance regulations.
