Job Description: The Operations Admin Officer for the Maintenance Department plays a crucial role in managing administrative tasks related to maintenance activities, resource allocation, employee attendance, reporting, site administration, and compliance with company policies. This role involves providing efficient back-office support, ensuring proper coordination among team members, maintaining records, and facilitating communication between various stakeholders.

Job Duties:

  1. Provide comprehensive back-office support and coordination for department supervisors/managers.
  2. Manage order logs from storage and ensure adherence to proper procedures.
  3. Monitor and record team attendance on a daily basis.
  4. Communicate any changes in section staff to the Human Resources department.
  5. Maintain records of team daily work performance and prepare necessary reports.
  6. Prepare studies and presentations as requested by section supervisors/managers.
  7. Monitor and escalate any tickets or delayed tasks due to coordination issues to the Manager.
  8. Handle general administrative activities to support the business operations.
  9. Maintain organized proposal files, logs, photos, and process reports.
  10. Prepare daily reports on completed works and distribute them as necessary.
  11. Calculate bonuses and handle absence reporting to HR after approval from the Manager.
  12. Assist section heads in job distribution and coordination.
  13. Document customer and network incidents/conditions in appropriate tracking systems.

OMC (Operations and Maintenance Center):

  1. Record engineers' vacations in online sheets.
  2. Respond to and manage emails related to NMC reports.
  3. Compile all tasks from the online sheet daily and produce reports for section managers.
  4. Handle escalations report for wireless and fiber problems that exceed specific resolution times and identify causes.
  5. Review online sheets (Storage Output) as per requested and returned documents.

Field Maintenance:

  1. Monitor technicians' and drivers' attendance on a daily basis.
  2. Assist in scheduling resources for technician teams' requests and maintenance activities.
  3. Manage maintenance of vehicle and driver logs.
  4. Maintain an invoice-tracking log to ensure subcontractors are paid on time and assist with billing and reporting.
  5. Document and file site acceptance including related notes and documentation.
  6. Document and file approvals and permission access for employees to enter exchanges.
  7. Coordinate with customers regarding the availability of maintenance for fiber optic cables.
  8. Prepare and submit worksheets with the finance department.
  9. Manage all incoming calls to the department.

Education:

  • Bachelor's degree in Management Information Systems (MIS), Business Administration, or a related field.

Years of Experience:

  • Minimum of 0-1 years' experience in an administrative or project coordination role in the ISP or Telecom industry.
