Key Responsibilities:

  • Compliance: Ensure all purchasing activities comply with company policies and purchasing practices.
  • Documentation: Prepare technical specifications for purchase orders, including terms, conditions, and evaluation criteria.
  • Order Monitoring: Track lead times for orders and shipments, update systems with order status, and follow up on payments.
  • Supplier Management: Prepare purchase documents, obtain competitive quotations, resolve payment discrepancies, and maintain supplier lists.
  • Shipping and Clearance: Monitor shipments, coordinate with clearing companies, and ensure import-related documents are complete.
  • Administrative Duties: Maintain high-quality internal administration, filing, and traceability of all orders, and ensure timely data entry into the system.

Qualifications:

  • Education: Bachelors Degree in Business Administration or a related field.
  • Experience: 1-2 years of experience in an administrative office job, preferably in procurement or supply chain management.

Knowledge:

  • Proficiency in English and Arabic.
  • Proficient in Microsoft Office (Word, Excel).
  • Adequate knowledge of procurement methods, negotiation, contract terms, distribution, logistics, and clearing.
  • Strong multitasking abilities, accurate data entry, good presentation skills, and effective planning and organizational skills.

Key Performance Indicators (KPIs):

  • Time to set up transactions in the system.
  • Time taken to resolve errors.
  • Order error rate and percentage of overdue orders.
  • Accuracy in procurement reports and data entry.
  • Compliance with procurement procedures.
  • Purchase order cycle time and order fulfillment lead time.
  • Fees and charges due to non-conformance or mistakes.

This role requires a detail-oriented individual with strong organizational and multitasking skills, capable of managing procurement processes efficiently while ensuring compliance with company policies.
