One of our client is seeking a highly organized, execution-focused Project Manager to oversee and drive our provider staffing pipeline from initial recruitment through final scheduling. This role partners directly with VP of Provider & Client Relations, and is responsible for managing multiple concurrent workflows across providers, hospital sites, and internal systems.
This is not an administrative support role. The Project Manager owns timelines, coordinates stakeholders, ensures data accuracy, anticipates risks, and keeps the entire pipeline moving efficiently. Success in this role means projects close on time, stakeholders are informed, and leadership is freed to focus on strategy rather than follow-up.

Core Responsibilities (End-to-End Workflow Ownership)
1. Provider Recruitment Project Management
- Manage inbound provider interest from initial contact through qualification
- Communicate next steps, timelines, and expectations clearly to providers
- Collect, validate, and organize all required information
- Maintain real-time, accurate applicant records
- Ensure smooth handoff into the qualification phase
2. Provider Qualification & Readiness
- Review provider applications for completeness, accuracy, and site fit
- Validate licenses, certifications, skills, and eligibility requirements
- Identify gaps, risks, or missing items early and resolve proactively
- Prepare provider profiles for leadership review and site submission
- Maintain clean, structured provider data for fast decision-making
3. Name Clear Management
- Submit name clears to hospital sites once providers are fully qualified
- Track approvals, denials, and pending submissions across multiple sites
- Follow up proactively to prevent delays
- Maintain clear documentation of all responses and outcomes
- Escalate blockers or issues as needed
4. Provider Presentation & Site Coordination
- Prepare and submit professional provider presentations to hospital sites
- Act as the communication hub between providers and sites
- Track feedback, requests, approvals, and rejections
- Document outcomes and adjust timelines accordingly
- Escalate urgent or time-sensitive matters immediately
5. Credentialing Project Oversight
- Manage the administrative timeline of the credentialing process
- Track progress, expirations, and outstanding requirements
- Coordinate with credentialing teams, hospital sites, and providers
- Submit employment verifications and supporting documentation
- Ensure credentialing milestones are met without last-minute fire drills
6. Scheduling & Shift Execution
- Coordinate directly with hospital schedulers and physicians
- Confirm mutual agreement on all shift details before finalization
- Track open shifts, pending confirmations, and future coverage needs
- Enter and maintain finalized shifts across all systems:
- Shift Channel
- Futures Document
- Google Sheets
- Internal scheduling platform
- Communicate schedule changes immediately to all stakeholders
- Verify additional hours and overtime with both site and provider
7. Tools, Systems & Process Optimization
- Maintain clean, accurate documentation across all platforms
- Own trackers, dashboards, and scheduling tools
- Assist in building and improving automations
- Identify inefficiencies and recommend workflow improvements
- Ensure systems reflect real-time project status
8. Role Expectations
- Communication & Stakeholder Management
- Respond within 1–2 hours during agreed working hours
- Provide clear, concise, professional updates to all parties
- Proactively communicate risks, delays, or changes
- Escalate urgent issues without hesitation Accuracy & Quality Control
- Double-check all submissions, schedules, and communications
- Ensure 100% alignment between provider and site expectations
- Maintain error-free trackers, documentation, and records
- Treat accuracy as non-negotiable
9. Own each providers journey through the full pipeline:
- Recruitment Qualification Name Clear Presentation Credentialing Scheduling
- Track provider status in real time (including within GHL)
- Anticipate expirations, scheduling gaps, or capacity issues
- Drive projects forward independently — no hand-holding required
10. Professionalism & Reliability
- Maintain strict confidentiality of provider and client information
- Meet deadlines consistently and follow through
- Identify conflicts or bottlenecks before they escalate
- Suggest improvements to workflows, templates, and systems
- Keep the staffing pipeline moving smoothly during high-volume periods.
