This opportunity combines ownership of the monthly billing process with hands-on support for the Tax Services team during key filing periods. You'll work closely with Partners, Finance, Tax professionals and clients, making sure billing is accurate, reporting is timely, and the tax team has the administrative support needed to stay ahead of deadlines.
The role can be structured as hybrid or fully remote.

The Role
The Senior Billing & Tax Professional Specialist will manage the firm's monthly billing cycle using billing instructions provided by Partners. This includes preparing invoices, processing adjustments and transfers, producing billing and accounts receivable reports, posting deposits, monitoring outstanding balances and responding to billing questions from both clients and internal leadership.
During tax season, this individual will also support the Tax Services team with tax return processing and administrative responsibilities, including return assembly, electronic filing, document management and tax organizer preparation.
This role is best suited for someone who has spent significant time inside a mid-to-large-sized CPA firm and understands both the billing side of the business and the pace of tax season. The right person will be highly organized, self-directed, comfortable working with different personalities and able to stay calm when deadlines are moving quickly.
Primary Responsibilities
- Manage and process monthly billing based on Partner instructions
- Prepare and distribute client invoices
- Produce billing, collections and accounts receivable reports
- Post daily deposits and maintain accurate billing records
- Process write-offs, billing adjustments and account transfers
- Respond to billing questions from Partners and clients
- Coordinate closely with the corporate Finance and Accounting team
- Monitor accounts receivable activity and support collection follow-up
- Assemble and process tax returns for electronic filing
- Download and manage client tax documents through DocuSign, SafeSend, Lacerte and related systems
- Perform tax processing functions across multiple software platforms
- Prepare and distribute tax organizers during filing season
- Assemble and send client copies of completed tax returns
- Scan, organize and maintain tax-related documentation in a paperless environment
- Collaborate with tax professionals and administrative team members to keep deadlines on track
- Provide additional operational and administrative support as needed
- Work additional hours during major tax deadlines, including occasional weekends when necessary
- Maintain strict confidentiality when handling client, Partner and firm financial information
Required Qualifications
- 6–7+ years of experience with primary responsibility for billing within a mid-to-large-sized CPA firm
- Prior tax administration or tax processing experience
- Strong understanding of CPA firm billing cycles, invoicing, adjustments, accounts receivable and collections
- Experience working in a paperless environment
- Proficiency with Microsoft Outlook, Word, Excel and PowerPoint
- Strong Adobe Acrobat skills
- Experience with Lacerte, CCH Workstream and SafeSend preferred
- Excellent organization and attention to detail
- Ability to manage multiple priorities and deadlines simultaneously
- Self-directed and comfortable working independently
- Strong interpersonal skills and ability to work effectively with a wide range of personalities
- Proactive, flexible and willing to step in where needed
- Ability to remain calm, organized and productive during high-volume filing periods
- Strong judgment and discretion when handling sensitive financial information

Compensation
$125,000–$135,000
