We are representing our is a multinational corporation thats incorporated since October 2020 an organisation is proudly headquartered in Malaysia, while others are spreading out across Southeast AsiaThailand, Indonesia and Taiwan.

With the current business expansion, they are looking for a Personal Assistant (Senior)

  • Location: KL Eco City
  • Monday-Fri (10am to 7pm)

Responsibilities:

Executive-Level Support:

  • Manage Director's expenses, calendar, and phone calls, ensuring efficient time allocation.
  • Oversee claims processing and reimbursement.
  • Facilitate business and personal arrangements for the Director.
  • Proactively handle ad-hoc assignments from senior management.

Administrative & Research Excellence:

  • Coordinate all group meetings, maintaining accurate and accessible calendars.
  • Conduct in-depth research to support Director's decision-making.
  • Generate insightful reports and presentations.
  • Liaise with internal and external stakeholders on company and personal matters, ensuring confidentiality.
  • Prepare detailed meeting minutes, including action items and follow-ups.

Project & Event Management:

  • Manage project timelines, ensuring timely updates from department heads.
  • Coordinate and schedule appointments, meetings, and travel arrangements for the Director.
  • Organize travel plans and itineraries, including flights, hotels, and ground transportation.
  • Plan and execute corporate events, like annual dinners and company trips.

Overall:

  • Perform additional duties commensurate with the position, as directed by the Director and Executive Assistant

Requirements

  • Minimum 3 years of experience in a high-level secretarial and administrative role.
  • Proven ability to support C-suite executives with a deep understanding of their needs.
  • Exceptional written and verbal communication skills in English.
  • Demonstrated ability to manage diverse stakeholders, navigating various personalities and communication styles.
  • Proactive, resourceful, and highly adaptable with a strong sense of responsibility and responsiveness.
  • Uphold strict confidentiality regarding Director's matters and prioritize their interests.
