  • Assist the Project Manager(s) / Project Director in planning, coordinating, and executing marine and offshore projects from initiation through to completion.
  • Support the preparation and maintenance of project schedules, work plans, and resource plans, and monitor progress against agreed timelines and milestones.
  • Coordinate with internal departments (Operations, Procurement, HSE, Crewing, Finance) to ensure timely and efficient delivery of project deliverables.
  • Liaise with clients, vendors, subcontractors, classification societies, and regulatory bodies to facilitate the smooth execution of project activities.
  • Prepare and maintain project documentation, including project plans, progress/status reports, meeting minutes, correspondence, and close-out reports.
  • Track project costs and expenditures against approved budgets, flag variances, and support the Project Manager in cost control and reporting.
  • Assist in the tendering and procurement process, including preparation of RFQs/RFPs, evaluation of quotations, and coordination with vendors and suppliers.
  • Monitor compliance with contractual obligations, QHSSE standards, and applicable maritime regulations (ISM Code, ISPS, OVID/OVMSA, MLC) throughout the project lifecycle.
  • Organise and participate in project meetings, site visits, and vessel inspections; prepare minutes of meeting and follow up on outstanding action items.
  • Support risk identification and mitigation efforts on assigned projects, escalating issues to the Project Manager/Director in a timely manner.
  • Assist in preparing project close-out reports, lessons-learned documentation, and handover materials for clients and internal stakeholders.
  • Maintain accurate and up-to-date project records, filing systems, and databases to support audits, reporting, and internal reference.
  • Provide administrative and coordination support to the Project Director/Manager, including scheduling, correspondence, and stakeholder follow-ups.
  • Support business development activities such as proposal preparation and client presentations as required.
  • Participate in the company's QHSSE initiatives, contributing to safety meetings, risk assessments, and continuous improvement efforts.
  • Any other ad-hoc duties as assigned.

Requirements

  • Minimum Diploma/Degree in Project Management, Business Administration, Marine/Mechanical
  • Engineering, Maritime Studies, or a related discipline, or personnel with relevant equivalent experience.
  • Familiarity with international maritime regulations (ISM, ISPS, OVID/OVMSA, MLC) is an advantage.
  • Strong organisational and multitasking skills; able to manage multiple project workstreams under time pressure.
  • Excellent communication and interpersonal skills to work with multinational teams, clients, and stakeholders.
  • Proficiency in MS Office (Excel, PowerPoint, Word) and familiarity with project management software is an advantage.
  • Willingness to travel to project sites and client locations, both locally and internationally, as required.

Experience

  • Minimum 2 to 3 years of experience in project coordination, project execution, or a similar role, preferably within the marine, offshore, or shipping industry.
  • Experience supporting vessel-related, offshore construction, or marine consultancy projects is preferred.
  • Exposure to tendering, procurement, or contract administration is an advantage.
