Our US Partner is the leading advocacy organization for families and programs supporting children with special needs in New York State.

We're looking for a highly-organized Virtual Administrator who will play a key role in supporting the day-to-day operations, helping with membership management, dues collection, social media, website updates, surveys, and other important projects to ensure the smooth functioning of the organization.

This is a full-time role, on a US shift and on a Work from Home set-up.

Key Responsibilities:

  1. Board Support:
    • Assist with organizing board meetings, including scheduling, sending calendar invitations, and providing logistical support.
    • Take meeting minutes and maintain accurate records.
    • Coordinate advocacy calls or meetings as needed.
  2. Membership & Communications: 
    • Handle all administrative aspects of membership, including enrolling new members, updating membership details, and processing changes.
    • Facilitate the collection of membership dues and send reminders to members.
    • Respond to basic membership inquiries and assist with outreach to potential new members.
    • Support the onboarding of new members, including follow-up emails, calls, and meetings.
  3. Social Media & Website Management 
    • Develop and distribute engaging social media posts to increase visibility and foster online engagement.
    • Reach out to members and contacts to promote social media activity, driving likes, shares, and interactions.
    • Regularly update the website with new content and information.
    • Assist in email campaigns to keep members informed and engaged.
  4. Survey Management: 
    • Design and distribute surveys to gather member feedback and insights.
    • Compile and share survey results with the appropriate stakeholders.
  5. Other Projects: 
    • Participate in various projects as assigned by the team or board.
    • Take on additional tasks that support the organization's ongoing needs and goals.

Skills & Qualifications:

  • Technical Proficiency: Must be fairly tech-savvy and comfortable using common digital tools, including Zoom, Gmail, Outlook, Microsoft Word, Excel, and the Google Suite (Docs, Sheets).
  • Organizational Skills: Strong attention to detail and ability to manage multiple tasks and deadlines simultaneously.
  • Communication: Excellent written and verbal communication skills, with the ability to interact professionally with board members, staff, and external stakeholders.
  • Self-Motivated: Ability to work independently, take initiative, and follow through on tasks without constant supervision.
  • Experience: Prior experience in administrative roles, particularly in non-profit organizations or advocacy groups, is a plus but not required.
