The Office Receptionist will be the first point of contact for visitors and clients, managing the front desk with a welcoming demeanor. This role involves handling various administrative duties, including conference room reservations and other clerical tasks, to support the overall functioning of the office.

 

This is a full-time role, shifting schedule, and on a Work in the office set-up.

Responsibilities:

· Greet and welcome visitors and clients with a friendly and professional attitude. Answer and direct phone calls to the appropriate departments.

· Manage the scheduling and reservations of conference rooms. Ensure rooms are prepared and equipped for meetings, including any necessary setup and cleanup.

· Ensure all guests adhere to security protocols.

· Assist with data entry, maintaining records, and preparing documents and reports as required by different departments.

· Assist in scheduling appointments and meetings for staff, ensuring no conflicts and efficient use of time.

· Provide excellent customer service to both external visitors and internal staff, addressing any inquiries and resolving issues promptly.

· Disseminate information to staff as needed, including memos, notices, and updates about office operations or policies.

 

Requirements:

· Proven experience as a receptionist, front office representative, or similar role

· Proficiency in Microsoft Office Suite and familiarity with office equipment (e.g., fax machines, printers)

· Strong organizational skills with the ability to multitask and prioritize tasks effectively

· Friendly and professional demeanor with excellent interpersonal skills
