Role Overview: We are hiring a full-time Admin / Executive Assistant to support a US-based executive with daily operational and administrative tasks. This role is designed to offload recurring work, organize workflows, and keep day-to-day activities running smoothly so the executive can focus on higher-value business priorities.
This is a generalist EA role—ideal for someone who enjoys structure, organization, and being a dependable right-hand to a busy leader. You will handle both routine workflows and one-off requests in a fast-moving environment.
Key Responsibilities:
- You will be responsible for a mix of daily operations, reporting, and administrative support, including: Inbox & Communication Support
- Manage and declutter inboxes
- Handle basic email replies and follow-ups
- Organize and flag priority messages Outreach & Campaign Support
- Build and send daily email outreach campaigns using MailSuite (Gmail plugin)
- Use templates and contact lists (training provided) Reporting & Tracking
- Prepare simple daily, weekly, and monthly reports
- Pull numbers from spreadsheets and platform reports
- Track items such as spend, applies, CPA, and performance per job Vendor & Account Support
- Log in to vendor portals
- Communicate with support teams via chat or email
- Resolve billing issues, overcharges, or account problems General Admin Tasks
- Maintain Google Sheets, Docs, and basic records
- Assist with ad-hoc operational tasks as needed Required Profile We are looking for someone who is reliable, organized, and comfortable working directly with an executive.
Must-haves:
- 1–2 years of experience supporting a VP-level executive or similar leadership role
- Strong written and spoken English
- Comfortable working in Gmail, Google Sheets, and Google Docs
- Tech-savvy and quick to learn new tools and workflows
- Comfortable with screen-sharing, live training, and frequent communication Tools
Youll Use:
