The Sales Coordinator will work directly with top tier executives, clients, and other business departments to both support and increase business activity and further build upon continued success. This role is essential in delivering best-in-class response times with our clients. The coordinator will play an integral part in managing the flow of information from the point of project entry through fragrance selection, coordinating components and marketing materials, packaging, shipping and follow up.
The Sales Coordinator must follow current procedures and Good Manufacturing Practices (GMPs), enter information into our customer resource management system, and communicate their progress with upper management. You will support the creative process alongside production staff, evaluation, sales, R&D, applications, logistics, customer service and quality control. This role could be a path to an inside or outside sales position.
Job Responsibilities:
- Enter project briefs as directed by clients and account executives according to process parameters. Confirming that all required fields are completed to ensure accurate processing of the project.
- Assist in updating all edits to brief as communicated by other departments.
- Track the progress of all open briefs and provide the team with status updates.
- Create customized queries and reports to meet presentation and analytical needs of the Sales teams and their clients.
- Provide custom reports, analysis, and interpretation to assist in growing various segments of the business.
- Take a proactive approach and provide the sales force with any documentation and/or reporting they may require prior to meetings/appointments.
- Organized inventory of Library with Library Technician as part of Sample Fulfillment.
- Work with other departments to help facilitate RUSH PBs for Apps, Evaluation, Re-samples (As point of contact)
- Assist in training to internal sample and external department staff for processes related to sample process.
- Take inventory and order all materials essential for shipping office functioning on daily basis.
- Collect, organize, and ship application and oil samples from packing office.
- Report work status needed to complete priority shipments on a daily basis.
- Communicate with clients direct to give them tracking information, regulatory and/or marketing documents as required by the brief.
- Follow up with clients after receipt of samples, according to procedures.
- Comply with all safety and SOP procedures including workplace safety & PPE.
- Form open dialogue relationships with our sales team to ensure adaptability with each person.
- Exhibit a level of urgency related to all issues/requests submitted by our sales team.
- Performs other duties as assigned.
Required Education and Experience:
- Bachelors degree required.
- 2-4 years relevant experience in clients Service, Sales, Marketing, or another similar field.
- Excellent ability to work with others.
- Must possess an extreme attention to detail.
- Extremely organized and able to multi-task.
- Deadline oriented with the ability to work well under pressure.
- Production/Planning skills: Knowledge of Good manufacturing processes (GMPs).
- Excellent Excel capabilities. Advanced Word and PowerPoint capabilities
- Cognitive (Reasoning):
- Apply principles of rational systems to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
- Interpret a variety of instructions furnished in written, oral, visual, or schedule form.
- Communication:
- Vocalize and explain detailed data and problem-solve, both in-person and by telephone.
- Must have Excellent communication skills (both verbal and written).
- Compose routine correspondence on own initiative.
- Make comprehensive notes in English.
- May involve a large volume of such composition.
- Must have ability to work well under pressure.
- Physical Capabilities
- Strength (lifting, dexterity, repetitive motion):
- Must be able to lift 15lbs onto waist high shelves.
- Must be able to lift and carry a min of 15lbs.
