Our Client 

We are looking for a highly organized and detail-oriented Part-Time Administrative Assistant to support our Non-Profit Executive Team. The ideal candidate will be proactive, resourceful, and capable of handling a wide range of tasks, with focus on the Grant funding and communication process.

Key Responsibilities

  • Manage calendars, including scheduling meetings and appointments.
  • Prepare and edit correspondence, communications, presentations.
  • Assist in preparing reports and activity data.
  • Conduct research and compile recommendations as needed.
  • Handle confidential information with discretion.
  • Update Jotform applications as needed.
  • After grant application due date make Jotform applications available to committee members on Google Drive.
  • Electronically file grant applications in Dropbox by grant cycle
  • Write and mail grant award or rejection letters to applicants.
  • Download, format and file Post-Production Worksheet (PPW) for Grant Committee Chairs review
  • Track attendance statics and MCEF expenditures for each show in Excel spreadsheet
  • Once grant award is approved, create payment letter and put into QB/MCEF/To be paid/ in Dropbox for accountant to cut check
  • Print letter and envelope for check, give letter to Board President to sign
  • Proof letters, minutes and reports created by Grant Committee Chair or Board President

Requirements

  • Proven experience as an executive assistant or in a similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent time management skills and the ability to prioritize work.
  • Strong organizational skills with the ability to multi-task.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Knowledge of office management systems and procedures.

Preferred Skills

  • Proficiency in Google & Microsoft Suite for collaboration and communication.
  • Event planning experience for organizing company events.
  • Proofreading skills for reviewing documents with accuracy.
  • Familiarity with CRM systems for documenting activity efficiently.
  • Data entry proficiency for maintaining accurate records.

Summary

  • $20.00 per hour
  • Part-Time 8-10 Hours per week
