As we grow, we are looking for a Personal Assistant & Office Manager who can bring structure to the everyday, keep our leadership team organised, and make sure our office runs smoothly.
You will be at the centre of the company's daily operations — supporting senior leadership, coordinating schedules and travel, welcoming visitors, organising the office, and making sure the small but important things never fall through the cracks.

THE MISSION
As our Personal Assistant & Office Manager, you will combine executive support with ownership of our Valkenburg office.
You will work closely with the leadership team, helping manage calendars, meetings, travel, administration, and changing priorities. At the same time, you will make sure the office is organised, professional, welcoming, and ready for our team, customers, partners, and visitors.
This is a hands-on role for someone who enjoys variety. One day you might coordinate an international trip and prepare an important customer meeting; the next you might organise a company event, onboard a new colleague, or solve an unexpected office issue.
YOUR IMPACT
Executive & Personal Assistance
Support senior leadership with calendar management, meeting coordination, appointments, reminders, travel arrangements, reservations, and day-to-day administrative tasks.
Travel Coordination
Arrange domestic and international travel, including flights, hotels, transportation, itineraries, and other logistics for leadership and team members.
Office Management
Take ownership of the daily operation of our Valkenburg office, including supplies, facilities, vendors, deliveries, meeting rooms, and general office organisation.
Meetings & Visitors
Coordinate internal and external meetings, prepare meeting spaces, welcome customers and visitors, and ensure a professional experience from arrival to departure.
Administration
Prepare documents, maintain records, process invoices and expenses, coordinate correspondence, and support general company administration.
Team Support
Help new employees get set up, coordinate onboarding logistics, organise team activities and company events, and support the wider team when needed.
External Coordination
Communicate professionally with suppliers, service providers, customers, partners, and other external stakeholders on behalf of the company and leadership team.
Keeping Things Moving
Follow up on actions, deadlines, meetings, and practical tasks. Spot what needs to be done before someone has to ask.
WHO YOU ARE
You are the person who brings order to a busy environment.
You are highly organised, reliable, and comfortable managing several priorities at the same time. You pay attention to details without losing sight of what actually matters.
You understand that supporting senior leadership requires discretion, good judgement, and the ability to handle confidential information professionally.
You are also hands-on. If something needs organising, booking, fixing, ordering, coordinating, or following up, you take ownership and get it done.
Most importantly, you are comfortable in a startup environment where not every process has been created yet — and you enjoy helping build those processes as the company grows.
THE ESSENTIALS
- Previous experience as a Personal Assistant, Executive Assistant, Office Manager, Team Assistant, or in a comparable administrative role.
- Excellent organisational and time-management skills.
- Strong attention to detail and ability to manage multiple priorities.
- Confidence managing calendars, meetings, travel, and administrative processes.
- Professional and discreet when handling confidential or sensitive information.
- Strong communication and interpersonal skills.
- Comfortable working independently and taking ownership.
- Confident using Microsoft Office / Microsoft 365 and modern workplace tools.
- Professional fluency in English.
- Good command of Dutch is strongly preferred.
- Able to work primarily on-site in Valkenburg.
Nice to Have
- Experience supporting founders, executives, or senior leadership.
- Experience in a startup or scale-up environment.
- Experience coordinating international business travel.
- Basic HR or employee onboarding experience.
- Experience with invoice, expense, or supplier administration.
- Experience in defence, aerospace, maritime, engineering, or another technical industry.
- Additional European languages.
