Job Summary:
We are seeking an experienced Office Manager to oversee the administrative operations and government relations for our new office in Spain. This role will be responsible for ensuring the smooth running of the office, obtaining necessary permits and licenses, and handling all administrative tasks to support business operations. The ideal candidate will be a proactive problem-solver with a deep understanding of Spain regulations and business practices.
Key Responsibilities:
- Office Administration:
- Manage day-to-day administrative tasks to ensure smooth office operations.
- Handle office supplies, equipment, and maintenance needs.
- Coordinate with suppliers and service providers.
- Organize and maintain office records, files, and databases.
- Government Relations:
- Obtain necessary permits, licenses, and approvals from relevant government entities.
- Maintain compliance with local laws and regulations, ensuring the business operates within legal guidelines.
- Facilities Management:
- Oversee office space setup, including lease agreements, utilities, and general Maintenance.
- Ensure health and safety standards are adhered to within the office environment.
- Coordination and Communication:
- Act as a liaison between the company and local government agencies, regulatory bodies, and service providers.
- Coordinate meetings, events, and other activities as needed.
- Manage internal communication regarding office policies and administrative updates.
Qualifications:
- Bachelors degree in Business Administration or a related field.
- Proven experience as an office manager or in a similar administrative role, with direct experience in Spain.
- Strong knowledge of Spain government processes, permits, and licensing.
- Excellent organizational and multitasking abilities.
- Fluent in Arabic and English, both written and spoken.
- Proficiency in office software (MS Office, Google Workspace, etc.).
