We are seeking a highly organized and efficient Secretary to join our team. The ideal candidate will be responsible for providing administrative support to ensure the smooth operation of the office. This role requires excellent communication skills, attention to detail, and the ability to handle multiple tasks simultaneously. The Secretary will play a crucial role in maintaining the workflow by managing schedules, handling correspondence, and supporting various administrative tasks.

Key Responsibilities:

  • Manage Correspondence: Handle incoming and outgoing communications, including emails, letters, and phone calls. Ensure all correspondence is addressed in a timely and professional manner.
  • Scheduling and Calendar Management: Maintain and coordinate the schedules of the executives or department heads, including arranging meetings, appointments, and travel arrangements.
  • Document Preparation: Prepare, edit, and distribute various documents such as reports, memos, and presentations. Ensure all documents are accurate and professionally formatted.
  • File Management: Organize and maintain both physical and digital files, ensuring all documents are easily accessible and properly archived.
  • Meeting Coordination: Arrange and prepare materials for meetings, including taking minutes, distributing agendas, and following up on action items.
  • Office Management: Assist in the day-to-day management of office operations, including ordering supplies, managing office equipment, and coordinating with vendors.
  • Confidentiality: Handle sensitive information with the utmost discretion and confidentiality.
  • Support to Team Members: Provide general administrative support to team members as needed, including project assistance and event coordination.

Qualifications:

  • Education: A minimum of a degree in business administration, English, IT or a related field is preferred.
  • Experience: 1-3 years of experience in a secretarial or administrative role  is preferred.. Skills:
    • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
    • Excellent written and verbal communication skills.
    • Strong organizational and time-management skills.
    • Ability to work independently and as part of a team.
    • High level of professionalism and integrity.
  • Language: Proficiency in Arabic and English.
