Our client is a large-scale physical retail mall managed like a startup as it reinvents and reborns into an entirely new concept. They have redefined their retail with a "Fit by Day, Fun by Night" concept, offering a unique blend of stores, restaurants, and fitness establishments in a sprawling 180,000 sqm space.
As an Assistant Facilities Manager at our mall, you will be integral in ensuring a safe, functional, and inviting environment for our visitors and tenants. Your role involves maintaining our facilities and equipment, troubleshooting issues, coordinating with contractors, and overseeing various maintenance tasks. This position demands meticulous organization, strong negotiation skills, and the ability to adapt to a dynamic environment.
Responsibilities
To contribute by ensuring a safe and functional environment and providing comprehensive maintenance service to the Mall equipment & machines
Ensure all the building facilities' assets and systems are maintained in good and serviceable working condition at all times
To investigate and troubleshoot all equipment failures and malfunctions
Coordinate and supervise work performed by outside contractors for maintenance, especially for common area systems
Manage multiple vendors of hard skills to deliver services on time and within budget
Ensuring that basic facilities are well-maintained and conducting proactive maintenance
Supervising and controlling outsourced vendors or suppliers are scheduled daily, monthly, and yearly plans such as security, cleaning, pest control, gardening, etc.
Monitoring and reviewing vendor duty roster plan and TOR
Implements and monitors permit and contractor safety procedures
Liaise and support related departments for Mall events and activities
Provide support where necessary for any planned and unplanned out-of-hours working
Follows environmental regulations and company protocols
Documentation related to Facilitate works such as PR, Memorandum, Checking list, etc
Maintain confidentiality regarding operations and processes
Foster positive communication with executives, staff, clients, and visitors
Exercise good judgment in performing duties and responsibilities
Support related department of company policies, principles, and mission
Perform other duties as assigned
Qualifications
Preferably, at least 2-3 years of experience in facilities maintenance work in a Shopping Mall industry or high-rise building
Flexible working time under duty roster
Experienced in management/maintenance management/building operations maintenance of shopping malls or high-rise buildings
Meticulous, organized, good negotiator with a strong hands-on mentality and able to work in a fast-paced environment, including having the flexibility to adjust and react to changing priorities
Have the ability to be a quick problem solver and learn how to manage a range of internal and external parties
Must be able to write simple reports
Problem-solving skills are preferred
Ability to develop strong fiscal business relationships with facility vendors on behalf of the company
Good command of English
Nice to have
Preferably a technical or engineering diploma/degree
Proactive, fast learner and ability to multi-task
Ability to work independently yet as a team player to work across different departments
Passion for service and client focus
Strong administrative/organizational/project management; program/procedure design skills
Proficiency in CAD software like AutoCAD or Revit to create detailed and accurate floor plans
